We are looking for a smart, creative, organized, hard-working person to provide administrative support for the editors and designers of EatingWell and Diabetic Living magazines. This position is responsible for creating, tracking and processing editorial and art contracts and payments to vendors and independent contractors using the contract database; tracking and reconciliation of manuscript and art costs; ensuring accurate content rights on material.

 

Additional tasks, as needed: Flowing manuscripts into InDesign; inputting recipes into ESHA nutritional analysis software; grocery shopping for Test Kitchen as needed; managing flow and testing of sample products and foods; tracking budgets; sending out comps; updating content in FileMaker database; doing research for food and nutrition stories; maintaining the cookbook library; processing incoming and outgoing mail; processing expense reports; coordinating travel; responding to reader correspondence.

 

Qualifications and Experience

  • Education: Bachelor’s degree, preferably in journalism or related field, or equivalent training and/or experience.
  • Administrative experience in a creative, fast-paced office environment (such as magazine or publishing job or internship).

 

Specific Knowledge, Skills and Abilities:

  • Excellent written and verbal communication skills.
  • Ability to prioritize, work under pressure and meet deadlines.
  • Ability to manage multiple projects simultaneously.
  • Ability to interact responsibly and kindly with co-workers, readers and experts.
  • Knowledge of computer software for common business applications (Word, Excel and Macintosh experience required; FileMaker Pro and digital asset management experience a plus). Proficiency with InDesign/InCopy helpful.
  • Knowledge of basic office procedures required; basic accounting and business English a plus.
  • Computer skills, excellent communication and phone skills, proficient at writing letters and memos, ability to respond to questions or problems in a concise and courteous manner.
