What We’re Looking For:  FoodCorps seeks a motivated individual to provide administrative support to the Vice President of Growth and Development.  Serving as an integral part of FoodCorps’ fundraising team and with utmost diplomacy and sound judgement, the Special Assistant will track, prioritize and activate the Vice President on requests by FoodCorps’ staff, partner and board leaders. The Special Assistant will assist a variety of needs that broaden the scope and effectiveness of the fundraising program and will play a central role in ensuring efficiency through strong management of logistics and projects.  

This is a full-time position, located within FoodCorps’ New York City office.

Primary Responsibilities:

  • Manage the Vice President’s calendar, including the scheduling and coordinating of internal and external meetings, conference calls, and other appointments  Handle travel arrangements for the Vice President.

  • Support internal and external meetings, ensuring that materials are organized, logistics are finalized, technical support is accomplished, and physical space is conducive to aspirational outcomes.

  • Assemble and manage physical materials for the Vice President, ensuring that she enters meeting well prepared.  At the Vice President’s direction, create meeting agendas, record meeting notes, and track follow-up and next steps to completion.

  • While demonstrating a nuanced understanding of priority activities, follow and improve upon existing systems to ensure efficient task management and strong information sharing.  Manage the tracking system for annual department-level goals.

  • Track Vice President’s to-do items.

  • Serve as primary point of contact and gatekeeper for the Vice President, managing and prioritizing her inbox and external communication.  

  • Draft letters, emails and invitations on behalf of Vice President.

  • Keep FoodCorps’ donor database, Salesforce, up to date in respect to tracking the Vice President’s funder and board member relationships.

  • Assist the Vice President, and other senior members of the fundraising and executive staff at the Vice President's direction, with basic technical and logistical needs, such as travel and expense reconciliation, vendor relations, and printing and preparing materials.

 Skills of the Ideal Candidate:

  • 2+ years professional office experience.

  • Excellent written and verbal communication skills, with the ability to quickly pick up and communicate in the style and voice of others.

  • Ability to use intuition and sound judgement to anticipate needs and to to handle a wide variety of activities and confidential matters with discretion.  

  • Capable of dealing with a variety of personalities in situations requiring diplomacy, poise and firmness.

  • Stellar talent for project management. Strength in multi-tasking, goal-setting, and prioritization.

  • Ability to plan and prepare for meetings seamlessly.

  • Strong, capable relationship builder, including by phone and email, using multiple ways of communication according to partner preference and geography.

  • Resourceful and flexible. Is highly motivated and has the ability to work as a team player and also to work independently with minimum supervision.

  • Ability to sustain strong relationships, including the ability to effectively partner with high-level outside stakeholders and to collaborate with staff at all levels.

  • High degree of comfort in a computer-based, email-intensive environment, and proficiency in current CRM software (e.g. Salesforce or Raiser’s Edge).

  • Possess an intellectual curiosity, understanding and enthusiasm for the work of FoodCorps.
