Position Objective: Reporting to the Executive Director, the Administrative Assistant (AA) will facilitate administrative functions for the nonprofit organization. The AA will interface with senior managers, staff, nonprofit board and other stakeholders.

 Responsibilities
  • Communication with leadership team and other stakeholders to handle requests and queries
  • Increase customer base and manage customer relations through fielding phone, email and social media inquiries; answer and direct phone calls
  • Organize, schedule and coordinate agri-tourism opportunities
  • Plan meetings and take detailed minutes
  • Write and distribute emails, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a digital and hard copy filing system
  • Manage and order office supplies, marketing materials, and other items as needed for programs and special projects; research new deals and suppliers
  • Maintain contact database
  • Book travel arrangements; handle conference, event registrations and logistics
  • Submit and reconcile expense reports
  • Provide general support to staff, volunteers and visitors

 

Requirements

  • Proven experience as an administrative assistant, virtual assistant, or office manager
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint)
  • Self-starter with excellent project and time management skills
  • Ability to prioritize work and to multi-task
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Knowledge of urban agriculture, local food movement or environmental stewardship a plus.
  • Ability to work well with others and to work under deadline
  • Ability to lift at least to 40 pounds; must be able to bend, stoop, stand for extended time
  • Must have valid driver's license
  • Punctuality, organization and leadership skills required
  • High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus
