Position Title: Grants Coordinator

Status:  Full time .8 to 1.0 FTE (32-40 hours/week)

Compensation: Annual salary range of $35,805 to $43,412 (depending on experience) plus medical/dental benefits, and paid leave

Reports to: Executive Director/Interim Co-Directors

Our work lives at the intersection of food, education, and health systems. Each year, we directly engage approximately 650 Thurston County residents of all ages in relationships-based programming centered on growing and preparing good food. We primarily work with young people, families with low incomes, students, seniors experiencing hunger, tribal communities, veterans, active duty service members, and their families.

We strive to cultivate an organizational culture of camaraderie among staff and a family-friendly work environment.
 

Position Overview

The GRANTS COORDINATOR leads the grant application and management process including prospecting funding sources, development of funding resources for existing and proposed programs and/or services; writing grants; developing thorough case statements for each program; collaborating on grant applications with other staff and/or partners; and processing, monitoring, tracking and coordinating follow-up communications on existing grants. To this end, the GRANTS COORDINATOR collaborates with program managers and the directors to design and support the development of organizational evaluation practices (including methods, tools and tracking systems) that align with GRuB’s values and enable us to adequately document our impact and report back to funders as well as evolve our programming to be most effective. Historically, GRuB has received grants from private and corporate foundations, United Way, and governments including tribes. We are interested in growing our base with sources from both traditional and innovative, equity-focused foundations. Collectively, grant funding typically comprises between 30 and 50 percent of GRuB’s overall annual revenue (which is nearly $1 million), and individual grants range in size from about $1,000 to $100,000.

We are a small staff team, and all employees participate in organizational stewardship outside their position’s key responsibilities. The GRANTS COORDINATOR, like all employees, participates in some site stewardship and housecleaning, occasionally serves as a GRuB ambassador at outreach events, contributes to all-hands-on-deck, seasonal fundraising events and activities, provides occasional support to program activities, and completes ad hoc projects as requested by directors.

This position has room for growth into increased management and leadership responsibilities.
 

Key Position Responsibilities
 

Grants Leadership and Management

  • Utilize grant tracking systems including prospecting, application, and reporting deadlines, and ensure transparent systems and consistent use of grants tracking systems organizationally.
  • Research current and prospective foundation, corporate, and government donors as it relates to the preparation of strong proposals and to identify new funding opportunities. Create and actively update a grant prospect plan.
  • Manage full range of activities required to prepare, write, and submit grant proposals and follow-up communications to grantors including, but not limited to, letters of intent, concept notes, budgets, and reports.
  • Seek review and approval by senior leadership of new grant narrative frameworks prior to submittal.
  • Provide regular reports to keep staff informed of grant writing activities, awards/declines, and reporting.
  • Lead internal and external communications regarding grant planning, coordination, and management.

 

Storytelling and Evaluation

  • Think strategically about new content needed to tell the GRuB story, our impact, and our vision.
  • Facilitate processes and efficiently and effectively gather and develop written material from staff to create compelling and inspiring content for use in grant-related materials.
  • Lead organizational evaluation processes and narrative development, including coaching and supporting program staff.
  • Maintain current research/body of data for case statements to support narrative across programming.

 

Financial Stewardship

  • Prepare 990 narratives.
  • Contribute to the development of the organization’s annual budget and budget narrative.
  • Monitor and report on budgeted versus actual financial activities as they relate to grants.
  • Prepare financial reports for donors and tell our financial story in narrative form.
  • Track grant receivables and ensure appropriate follow-up communications and acknowledgements.

 

Minimum Qualifications

  • Experienced securing corporate and foundation grants including prospecting, writing, and reporting
  • Passion for GRuB’s mission
  • Excellent written communication skills with demonstrated professional writing samples
  • Joyful, effective collaborator
  • Self-motivated and resourceful
  • Detail oriented
  • Knowledgeable with Microsoft Office, relational databases, and web-based project management tools
  • Ability to successfully manage a large volume of work, meet multiple competing deadlines, and respond with flexibility to unanticipated requests
  • Research, analytical, and project management skills

 

Preferred Qualifications

  • Experienced securing government grants including prospecting, writing, and reporting
  • Strong interpersonal and verbal communication skills
  • History of securing grants at $50K and above
  • Compelling storyteller
  • Lover of logic models and creating theories of change
  • Understanding of participatory evaluation techniques
