Job description

Position Summary:

Cultivating client and supplier relationships by coordinating and executing activities that keep the manufacturing operations running smoothly including, but not limited to: purchasing, logistics, and communications.

 

Essential Job Duties:

  • Extract needs and wants from Clients and converting into orders (purchasing, production, shipping, etc) for the company.
  • Purchase materials & supplies.
    • Ingredient research, sourcing and tracking.
    • Maintaining a materials database including data entry
    • Coordinating inbound and outbound shipping of ingredients, finished goods, and samples
    • Posting inventory transactions to our systems
    • Initiate and monitor purchase orders to ensure timely receipt and inventory of all products.
    • Create and maintain documentation for purchasing, inventory and reporting.
  • Execute external and internal inventory transactions including inventory transfers, client fulfillment, sample receipt and delivery, and lot tracking.
  • Coordinate accurate and timely shipments of materials, finished goods and samples in accordance with client & company schedules and terms.
  • Oversee maintenance of client records and ensure timely reporting of essential information.
  • Maintain office efficiency by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving office supply inventory; assigning and monitoring clerical functions.
  • Create Client Service Orders or assist Clients in doing so
  • Work with Sales & other depts. to perform monthly and ad-hoc billing
  • Manage, sort and organize incoming documents/packages and distribute to employees or clients.
  • Staffing the front desk during business hours including answering the phone, responding to general requests and forwarding calls when necessary.
  • Work closely with management to coordinate projects and activities.
  • Other duties as assigned.

 

Job Qualifications:

 

         Education: High school diploma or equivalent.  Associates or Bachelors degree is a plus

         Experience:  Minimum two-year experience in an outwardly facing, professional position.  Experience in purchasing, supply chain, and/or logistics is required. Food industry experience is not required but strongly preferred.

 

Skill/Ability:

  • Excellent time management skills and ability to multi-task and get it all done on time.
  • Ability to communicate professionally and knowledgeably with a wide range of people.
  • Attention to rules, detail, planning & problem-solving skills
  • Dedicated to meeting the expectations of internal and external customers.
  • Ability to organize the physical environment and help others maintain such order
  • Ability to understand ingredient specifications and learn technical jargon.
  • Ability to work as a team member or individually with minimal supervision guided by written procedures and oral instructions.
  • Strong MS Office computer skills, especially Excel.
  • Experience with QuickBooks is a plus.
