This position coordinates and supports general organizational and project management, technology, financial administration, and grants. This role ensures that project teams communicate effectively and function smoothly, that grants are tracked and managed, and that operational matters are handled in a timely manner. The Operations and Project Coordination position helps build productive working relationships with staff and constituents and supports reporting and project assignments as needed.
Responsibilities
Operations Management
- Ensure effective program implementation through staff coordination and engagement with organizational technology tools and managing internal and external communications
- Ensure smooth operations through online technology, file management, and communication systems
- Provide on-boarding of new employees/volunteers receive initial orientation to systems, policies, office access, and computer technology as needed
- Guide processes of strategic planning, organizational growth, and streamlining
Project and Grants Coordination
- Support project lead staff in grant reporting, monitoring and evaluation
- Assist project lead staff in the prospecting, development, and submission of grants
- Coordinate MESA’s 7 part-time staff across three programmatic areas: Local Food Sovereignty Mobilization, Experiential Exchange, and the Online Learning Network
Administrative Coordination
- Ensure a minimum of two days per week of office coverage: greeting visitors, answering and directing phone calls, receiving mail, etc.
- Assist in basic office functions: invoicing and expense tracking, scheduling, reimbursement processing, preparation of regular and ad hoc reports, etc.

- An interest in supporting a multicultural work environment
- Proficiency and/or strong capacity to learn standard office technology / software and web applications such as Google Nonprofit Suite, CiviCRM, Wordpress, and Quickbooks
- Strong written and verbal communication skills in English. Proficiency in Spanish or other languages is also a plus.
- 3+ years of experience with office management / administration. Experience with democratic workplaces is a plus.
