Job description

The Center for Agricultural Development and Entrepreneurship (CADE) seeks a part time  Office Manager to support all aspects of the organization’s operations. This is a senior position responsible for the efficacy, sustainability, and growth of the organization, reporting to the Executive Director. The position will be responsible for designing and implementing business operations; fundraising; and managing finance, human resources, administrative, and knowledge management systems.

CADE is a non-profit organization founded in 1991, whose mission is to increase the number and diversity of successful farm enterprises. Our goal is for farm and food businesses to compete and thrive, contributing to a sustainable regional food system and strong local economy. The position is based at CADE’s office in Oneonta, NY (www.cadefarms.org). 

 

Responsibilities

Operations

  • Propose and implement operating systems across the organization to enhance efficacy and growth, and institutionalize company culture, vision, and integrity


Development

  • Support all aspects of organizational fundraising in close cooperation with Executive Director, including foundation and individual donor cultivation, grant proposal and budget development, grants management, and funder database management

  • Track donor reporting and payment requisition deadlines, manage donor reports, monitor grant payments, request/manage reimbursements, etc., to ensure timely release of funds to sustain regular cash flow


Finance

  • Prepare monthly cash flow reports, financial updates, and annual budgets as requested 

  • Manage annual financial audits in cooperation with CPA

  • Manage and oversee payroll for staff

  • Handle bank statements, deposit checks, and liaise with bank for any financial matters

  • Collect W-9s from consultants, prepare 1099s for year end for consultants, etc.

  • Ensure the organization is in compliance with all tax, workers comp and labor audits, including overseeing submission of annual tax filings / 990s 


Human Resources

  • Maintain employee manual and ensure Board/staff/intern compliance

  • Manage and maintain personnel and consultant/contractor files

  • Manage annual staff performance reviews and related documentation

  • Support onboarding of new staff/interns/Board members

  • Track staff vacation, personal, and sick days and time off request forms

  • Collect and handle staff timesheets

  • Act as a liaison for staff/interns on any human resources related questions or concerns 

  • Act as a liaison to insurance providers, maintaining and keeping current insurance for the organization, including but not limited to health, disability, liability, Board insurance 

 

Knowledge Management

  • Manage new Client Relations Management (CRM) system, Sales Force, for organizational funders, clients, buyers, etc.; CRM data entry and migration of data; and ensure CRM is synchronized with CADE’s website, Mailchimp, Survey Monkey, etc.

  • Maintain all software, database, and email accounts 

  • Ensure record retention compliance for financial/tax/Board documents

 

Administration

  • Handle all administrative needs of the organization, from restocking office supplies to picking up mail, to developing/maintaining consultant/contract files, to preparing documents for quarterly Board meetings, etc.

  • Event planning and logistics for external events/workshops

 

General Program Support & Administration

  • Support administration of CADE programs in close collaboration with program team

  • Support new program development including spearheading research, analyzing funding opportunities, coordinating strategic planning with prospective partners, etc.



Qualifications

  • At least 3-5 years business or non-profit experience working in operations, finance, administration, human resources, and/or project management 

  • Outstanding management skills

  • Self-starter, highly motivated, attentive to detail 

  • Aptitude for troubleshooting / problem-solving

  • Able to work well independently as well as part of a team

  • Excellent people skills

  • Familiarity with Quick Books and CRM databases (such as SalesForce), a plus

  • Bachelor’s or Associate’s degree required, including in but not limited to non-profit or business management, administration, human resources, or related field.
