Job description

Cascadian Farm is seeking a detail-oriented, proactive, and experienced Office Administrator to join our team. The Office Administrator contributes to the Farm’s operational success with accurate bookkeeping, effective administrative support, and ensures procedures and policies are implemented and maintained.   

POSITION DETAILS

MAIN RESPONSIBILITIES

Responsible for performing all bookkeeping functions and maintenance of accounting records according to generally accepted accounting practices:

  • Manage and oversee daily fiscal process, including handling cash, deposits, processing accounts payable and receivable, and reconciling accounts.
  • Process weekly payroll for employees and track sick pay.
  • Close of books on monthly and yearly basis with corporate financial team.
  • Manage monthly inventory tracking systems.
  • Effectively create and communicate financial reports in an accurate and timely manner.
  • Maintain an up-to-date and orderly accounting filing system
Support Human Resources business processes in partnership with Human Resources and hiring managers:Assist hiring managers with local job posting.
  • Oversee employee hire paperwork (I-9, direct deposit, W4, etc.) and file set up.
  • Ensure consistent onboarding program to educate employees on Farm policies and procedures.
  • Maintain confidential, secure, and up-to-date employee records.
  • Assist employees with accessing HR resources and policies.
Oversee administrative functions and ensure efficient and consistent organizational operations:
  • Answer office phone, respond to voicemails, welcome on-site visitors and provide appropriate customer service.
  • Sort and process mail to ensure it goes to the proper department.
  • Maintain up-to-date organizational files.
  • Maintain a clean and orderly office, bathroom, and welcome area.
  • Ensure office and operational supplies are ordered and arrive in a timely manner.
  • Work closely and transparently with vendors and other external partners.
  • Understand and follow the Farm’s operational and safety policies (including personnel and food safety), procedures, and best practices and help other team members follow.
  • Effectively communicate and maintain close working relationship with Farm team to support overall Farm operations.
  • Assist with regulatory compliance (including but not limited to Organic Certification, Good Agricultural Practices, among others).
  • Assist Farm leadership team with a variety of clerical duties and project management.
  • Participate in meetings, program activities and events (set up, tear down, organization, snacks and materials for tour groups, note taking), as needed.
Other tasks as assigned.
 

QUALIFICATIONS

  • 1-2 years bookkeeping and administrative experience
  • Some college preferred
  • Intermediate to advanced knowledge of Quickbooks for bookkeeping software
  • Intermediate to advanced knowledge of Microsoft Office Suite including Word, Excel, and Outlook
  • Organized and detail oriented
  • Strong oral and written communication skills
  • Creative thinker and problem solver with the ability to innovate
  • Excellent judgment, ability to manage multiple priorities and deadlines simultaneously
