Job description

Operations Manager & Associate Podcast Producer

 

Responsibilities

  • Provide administrative support for Serious Eats office, photo and kitchen studios, including: answering phones, handling mail and shipping, scheduling major meetings, managing calendar and arranging travel for executives, onboarding new hires, and serve as point person for Fexy Office, HR, and Finance.
  • Coordinate facilities management for all spaces with Industry City personnel, subcontractors, and external vendors, including, but not limited to: utilities, HVAC, custodial services, building and furnishing contractors, electricians, plumbers, kitchen appliance maintenance and repair, security services, and IT.
  • Work closely and assist Founder & CEO with scheduling meetings, expense reports and specific projects. 
  • Manage equipment, hardware, and supplies inventory for office and studios.
  • Serve as office keyholder, emergency point of contact, and fire warden. 
  • Associate produce Serious Eats' James Beard-nominated podcast, Special Sauce with Ed Levine, including booking guests and studio time, studio session directing, managing expenses, coordinating ad placement and post-production with audio editor, copywriting, and CMS.
  • Coordinate freelancer onboarding, invoicing, contracts, and payments with corporate accounting team, staff, and third-party invoicing portal, Tipalti.
  • Oversee expenses, fraud monitoring, and reporting for office and executive corporate cards. Train new hires on Concur, working with Finance on reconciliations. Act as liaison with Fexy Office Manager and Finance on expense reporting issues.
  • Help coordinate visual and culinary team shoot schedules.
  • Coordinate company-wide outings, staff lunches, social gatherings, and team-building events, etc. 
  • Manage internal files, office guides, onboarding packets, and staff contacts.
  • Manage office and podcast budget. 
  • General upkeep of the office such as ordering furniture, supplies, and snacks as needed. 
 

Preferred Qualifications

  • Minimum of 2-3+ years of relevant professional experience.
  • Interest and enthusiasm for food and digital media.
  • Motivated self-starter able to take initiative in identifying, addressing, and overseeing projects independently and as part of a team.
  • Facility in working with a variety of constituencies and stakeholders.
  • Attention to detail and organizational skills a must. 
  • Ability to coordinate multiple projects and competing priorities at once.
  • Proficiency with Google Suite, spreadsheets, and word processors.
  • Competency in MS Office applications required. Expense reporting (Concur) and/or accounting experience helpful.
  • Ability to function independently with minimum of supervision.
  • Excellent oral communication and collaboration skills. Ability to work effectively with remote teams.  High degree of positivity.
