NY Sun Works is seeking an Executive Assistant who will work directly with senior-level team members and will be responsible for performing a number of administrative support activities to facilitate the efficient operation of the organization. The ideal candidate is self-motivated, professional, capable of managing their work load and prioritizing tasks in a fast-paced non-profit environment. The Executive Assistant’s duties and responsibilities will include:

 

40%

  • Record transactions in Quickbooks, internal bookkeeping and accounts receivable, purchasing reconciliation (prior experience with Quickbooks not required)
  • Follow up with schools related to accounts receivable as needed
  • Data analysis and financial reporting 
 

30%

  • Coordinate office communications, including answering phone calls, responding to emails and interfacing with clients
  • Prepare internal and external organizational documents for team members and organizational partners and clients
  • Schedule internal meetings and appointments, secure meeting spaces
  • Office purchasing, including supplies and print orders  
  • Arrange organizational events to take place, such as birthday celebrations, holiday and staff appreciation events as needed
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clients
  • Maintain a clean and organized work environment for all

  • Prepare materials and table at informational events as needed
  • Research and data entry for new clients and contacts
  • Geographic data manipulation and mapping
  • Data management
 

Required skills and experience:

  • Willingness to learn
  • Professional level verbal and written communications skills; Spanish dual language proficiency is a plus
  • Advanced Microsoft Office skills; an ability to become proficient with org-specific programs and software, including Quickbooks, Accelo, Salsa CRM and Engage, and various Adobe products  
  • College degree with no experience, or high school degree with experience
  • Ability to prioritize daily workload
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
 

The ideal candidate is a digital native who learns by doing, excels at Excel, and communicates effectively with internal team members and external stakeholders with a high degree of professionalism and polish. This position will often act as the “voice of the organization” for new partners.
