We are travel curators that craft exquisite culinary and wine journeys in the Americas from South America to Napa/Sonoma, California. We are extending our reach beyond the trip itself to unite travel, people, and 'goods' through new platforms and a membership that brings our guests the terroir wines and ingredients into the home and pairs them with digital content and virtual tastings.

We are looking for a Systems & Operations dynamo to join our team and contribute 20-25 hours per month to help us manage the operational backend of our travel and wine operations. This is NOT a job focused on travel design nor content. It's 100% operations.

The ideal candidate is someone who is obsessive with organization, detail, processes, SOP manuals, and loves making sure every system hums. Someone who can work independently and take the initiative while also supporting the CEO to strategize, brainstorm, stay organized, and focus on the larger picture. The track for this position is Operations Assistant (or VA / Project Manager) → Operations Manager → COO. 

Given that our focus, and mission, are centered around The Americas (and mostly Spanish-speaking Latin America), we collaborate with many artisans and suppliers who do not speak English. Thus, we are seeking candidates who are fluent in spoken and written Spanish and English. 

Day-to-Day Responsibilities:

  • Email management and organization of folders. 
  • Manage our tech stack & software--we are in the process of migrating to new platforms.
  • Administrative support: reconciling payments & receipts, tracking expenses from all revenue-generating activities, liaising with our bookkeeper, keeping orderly records.
  • Manage route client communications via email & telephone and be the ‘voice’ that helps them with anything they may need.
  • Manage the trip planning workflow and process, i.e. making/changing/rebooking client bookings for upcoming itineraries, assisting with booking any concierge services requested, sourcing
  • Support our new platforms for both content and (physical products--wine and ingredients): liaising with wineries, food artisans, and importers, sourcing materials/packaging, working with editors of podcast and videos, etc.
  • Creation of processes and systems for SOP manual to streamline our operations
  • Support marketing activities with CEO and part-time contractors; help as needed with uploading Social Media posts & preparing e-mail marketing campaigns (no copywriting required).
  • Special projects as they appear like Destination Guide research, organizing our annual internship program, etc.

Requirements:

  • 3+ years of project management experience OR
  • 3+ years as a VA, operations, or executive assistant.
  • Details and systems are a proven passion. You love troubleshooting problems, finding solutions, and have a knack for organizing folders, streamlining processes, and creating SOP manuals.
  • Fluent Spanish with a demonstrated relationship with Latin America and its culture. You don’t necessarily need to have traveled everywhere there, although you need to love the region as it is a central part of what we do and our why
  • Take initiative, own a project, and run with it. Seek out efficiencies, be resourceful, and do not ask Google-able questions.
  • Comfortable with client-facing work and communicating effectively with our extended team and network and giving the best customer service.
  • Have a curiosity and demonstrated interest in food, wine, and travel.
  • Understanding of new technology and experience with software like GSuite, ClickUp (Project Management), along with a willingness to get up to speed quickly on software we run our business with.
  • Remote position. We work on California/West coast business hours. Bonus if in the Bay Area and can travel on occasion to Napa (our base in the US).
