God’s Love We Deliver, a nonsectarian organization, is the New York metropolitan area’s leading provider of life-sustaining meals and nutrition counseling for people living with severe illnesses. Begun as an HIV/AIDS service organization, today God’s Love provides for people living with more than 200 individual diagnoses. God’s Love cooks and home delivers the specific, nutritious meals a client’s severe illness and treatment so urgently require. Meals are individually tailored for each client by one of our Registered Dietitians, and all clients have access to unlimited nutrition counseling. God’s Love supports families by providing meals for the children and senior caregivers of its clients. All of the agency’s services are provided free of charge. Job description

The NYCWFF Production Associate works as part of the Production team in achieving superior event quality, marketing performance, goal attainment, and positive community standing.  The primary responsibility of this position is to provide administrative and logistics production support to ensure that the Festival runs smoothly, with a focus on chef solicitation and data tracking.
 

Essential Duties and Responsibilities:

  • Support the Director of Operations and Production Manager with venue scouting, chef solicitation, program planning, and administrative duties
  • Responsible for production related Airtable data entry and data maintenance
  • Create and maintain critical Festival documents, such as Run of Show, Master Timeline, Committee Contact list, Forms, etc. 
  • Send chef invitations and manage RSVP process; research current chef and restaurant trends; create chef/restaurant invite lists based on event themes
  • Coordinate of all committee meetings: booking venue, creating agendas, scheduling presentation times, and circulating recaps
  • Execute committee-wide communications such as email announcements, calendar appointments, agenda creation and distribution, key production documents and deadlines
  • Manage on-site communication platform (e.g. Slack, Teams, Zoom)
  • Create event fact sheets
  • Proofread and edit festival website and all festival signage as it relates to production items: chef names and headshots, chef details, event details, menu spelling and format, logo inclusion
  • Crop & resize chef headshots on Photoshop for use on website and in marketing materials
  • Coordinate the assignment and ordering of wristbands, stickers, ticket scanners and credentials for Festival events
  • Manage production room blocks at NYCWFF Headquarter Hotel(s) and facilitate all hotel bookings throughout the year
  • Assist Senior Finance Manager with expense report processing and reconciliation, and trafficking of vendor contracts and invoices
  • Support Production Manager with maintenance and troubleshooting of Festival database and IT systems

In addition, the right candidate meets the following requirements:

  • Bachelor’s degree required, preferably in a related field (e.g., event management, nonprofit management, hospitality and tourism, marketing)
  • 1-2 years of relevant experience (e.g., work or internship experience with on-site management of large-scale events, nonprofit development or operations, hotel or restaurant industry, event marketing)
  • Proficient with Microsoft Office (Word, PowerPoint and Excel) and Adobe Creative Suite (Photoshop, InDesign, and/or Illustrator)
  • Experience with Airtable or other CRM/database programs
  • Understanding of basic accounting principles
  • Ability to work autonomously on multiple projects in a deadline-oriented environment
  • Must be extremely detail oriented and meticulous with data input
  • Must be a team player committed to constant improvement and creative approach to working in new situations
  • Demonstrated ability to work successfully with competing demands and seasonal long hours of intense work pace
  • Excellent organizational skills
  • Interpersonal skills, provide exceptional internal and external customer service
