Tokita Seed Company seeks to hire an Inventory and Office Manager based in Gilroy, CA. The responsibilities include:
Inventory
- Create purchase schedules and manage receiving of new inventory.
- Ensure all transactions are recorded in a timely and accurate manner, to reflect an accurate inventory position at all times.
- Oversee the maintenance of e-commerce inventory on Shopify.
- Conduct quarterly audit of inventory.
- Build inventory KPI dashboards and reporting to share risk and opportunities with leadership as part of quarterly operations reviews.
Accounting
- Coordinate documentation and execution of accounts receivable and accounts payable.
- Regularly update the balance sheet for as needed reporting to the executive team.
- Conduct monthly bank reconciliation.
- Prepare and present an annual report summarizing financial activities to the executive team.
Shipping
- Collaborate with US and International Sales divisions on inventory movements to partners and customers.
- Create necessary documentation for customer orders (e.g., phytosanitary certificates, etc.) and for incoming shipments (inventory, trial seed, etc.).
- Oversee two individuals who focus on shipping. Assist with packing and sending shipments as needed.
- Develop, improve, and document standard operating procedures (SOPs) for shipping and receiving processes. Continuously improve inventory management, QA, and shipping processes to develop best practices.
- Verify shipping invoices to ensure all items are accounted for.
Additional Responsibilities
- Supervise a team of 2-3 individuals who conduct day-to-day office operations.
- Establish annual goals and conduct annual reviews for supervisees.
- Manage organic certification.
- Conduct quality assurance (QA) duties as required (e.g., germination tests).
- Ensure office organization, including purchasing of office supplies as needed.
Requirements:
- Bachelor’s Degree or equivalent experience
- Understanding of business and agriculture, experience in seeds a plus.
- Working knowledge of inventory and shipping management.
- Demonstrated leadership skills; proven ability to supervise and direct employees.
- Accounting and inventory management skills required.
- Strong experience with Excel, Quickbooks, and Shopify highly preferred.
- Strong oral and written communication skills.
- Ability to effectively respond to direction and questions from managers, employees, vendors, and customers.
- Strong organizational skills and ability to manage multiple priorities effectively.
- A flexible team player who develops trust and can work cross-functionally to drive results.
Compensation: $75,000 DOE per year, payable according to the Company’s standard payroll schedule and practices.
