We are hiring a Chief of Staff who will work closely with the entire team to oversee external relationships, internal operations, and long-term strategy. This role is a combination of operations and project management, working closely with each department Head to collaboratively problem-solve and move forward the Studio’s internal initiatives.
Responsibilities:
- Work with the Executive Director to manage external relationships

- Co-lead business development, client events, sponsorships, partnerships
- Draft client proposals and contracts
- Manage the client experience and the logistics of custom events
- Work with each department Head to support project management and execution of respective workstreams

- Build operational processes where needed to support existing and future projects
- Codify metrics and learnings into shareable documents
- Create materials needed to facilitate meetings
- Organize internal documentation and ensure best practices for team communication
- Manage fundraising campaigns and donor relations

- Update donor records and follow-up with Patreon cancellations/declines
- Send out annual donor tax letters
- Brainstorm and coordinate annual fundraising campaigns (e.g. crowdfunding campaigns, Patreon)
- Collaborate with the Executive Director on grant applications

- Write and edit application proposals, when needed
- Manage grant application tracker and update with new grant opportunities
- Oversee search optimization and traffic for the organization

- Update and maintain ads under Google Ads Grant
- Make improvements to Studio website SEO
- Oversee advertising campaigns across multiple platforms
- Oversee general operational and administrative needs

- Set up and maintain organization software (Notion, Google Drive)
- Update and monitor the annual budget to reduce/limit costs
- Create standard operating procedures and document templates when needed
- Research legal restrictions and provide support on corporate/legal matters
- Assist in hiring processes and onboard new team members
- Oversee general volunteers and fellows
Formal Requirements:
A strong candidate will have the following skills and qualifications:
- Planning and project management experience
- Excellent communication and diplomacy skills to effectively communicate and manage a fully remote team
- Comfortable working with external stakeholders and proactively considering their needs
- Strong analytical and decision-making skills, with the ability to synthesize large amounts of information
- Flexibility with changing job needs and the ability to prioritize
- A quick and eager learner who enjoys problem-solving and finding creative solutions
- Software management experience, especially with Notion, Google Drive, and fundraising platforms
Prior experience within the food, beverage, hospitality industry is desired; experience in nonprofit operations, people management, business development, and fundraising is a big plus. We are a small organization and in particular want individuals who have a can-do attitude in both thinking strategically and executing tactically.
