Co-founded by the Food Chain Workers Alliance, the National Black Food & Justice Alliance, Real Food Generation, and the Union of Concerned Scientists, HEAL is a multi-sector, multi-racial coalition building collective power to transform our food & farm systems, with racial justice and community self-determination at the core. We are led by our member organizations, who represent over 2 million rural and urban farmers, ranchers, fishers, farm and food chain workers, indigenous groups, scientists, public health advocates, policy experts, community organizers, and activists nationwide.

Job description
The Operations Administrator contributes to the overall functioning of HEAL by managing backend operations. They implement administrative and office support for systems that support HEAL’s staff, members, and vendors, including processing financial paperwork, reviewing and coding expenditures, and database management. They are the primary staff member responsible for ensuring that structural procedures support and align with organizational values.

The ideal candidate knows that this work enables an organization to thrive, has meticulous attention to detail and recognizes the value of impeccable tracking and follow through. This position works closely with and reports to the Operations & Events Manager, and interfaces with all staff, members, and the general public. 

The core responsibilities include, but are not limited to:
 
FINANCIAL MANAGEMENT (60%)
-Tracks and reports all HEAL expenditures
-Tracks credit card receipts and ensures credit card coding
-Reviews and ensures integrity of monthly financial reports
-Tracks incoming grants, donations, and honoraria
Contracts, Regrants, Reimbursements & Honoraria
-Acts as point of contact for contractors, including processing payment requests
-Processes honoraria for speakers and trainers
-Manages and tracks regrants to members, SoPL participants, and recipients of HEAL’s Rapid Response Fund 

For in-person events:
-Supports travel arrangements, including booking flights, ground transportation and accommodations;
-Provides on-the-ground coordination and logistical support for events and meetings
-Manages and coordinates reimbursements for meeting participants and employees
-Serves as a point of contact for fiscal sponsor regarding securing insurance coverage and other necessary liability coverage.

ORGANIZATIONAL AND SYSTEMS MANAGEMENT (30%)
Membership:
-Maintains database of members & member listserv
-Manages New Member Intake & Processing
-Manages annual membership dues collection
-Provides logistics for hiring, including posting job descriptions, creating applicant files, scheduling interviews, and coordinating with the fiscal sponsor

Staff Support:
-Provides logistics for hiring, including posting job descriptions, creating applicant files, scheduling interviews, and coordinating with the fiscal sponsor
-Manages purchase and tracking of office needs, such as supplies, technology, and subscriptions
-Supports directors in tracking program budgets
-Monitors HEAL’s info email account and channels requests to the appropriate staff person
-Supports the Operations & Events Manager in maintaining the organizational Drive and other internal systems, including donor tracking   
CONTRIBUTE TO OVERALL EFFECTIVE FUNCTIONING OF HEAL (10%)
-Represent HEAL at public events, conferences, coalition meetings, and to members.
-Maintain competency in issue areas. Maintain and update working knowledge of issues related to gender, economic, environmental, and racial justice to ensure relevance of HEAL campaigns and communications.
-Participate in program and project meetings, planning and strategy sessions, and special organizational efforts to achieve HEAL’s goals using the experience and learning to inform HEAL’s workplan, infrastructure development, and strategic planning.  

Required Qualifications
Organized: Must have the ability to organize and track materials, set priorities between multiple demands, and meticulously track financial details.
Experienced: Must have experience with tracking financials and reading budgets. Communicative: Must have excellent English language skills in all areas of verbal and written communications, and be skilled in interpersonal relations.
Adaptive: Must be comfortable working with constituencies with a range of professional experience and literacy levels, and adaptive to shifting priorities.
Self-directed: Must have demonstrated initiative, and be independent, accountable, and comfortable managing projects remotely.
Collaborative: Must be a great team player and listener with strong interpersonal skills.
Tech Savvy: Must be able to utilize common office software and be comfortable with the Google suite, CRMs like AirTable, and online project tracking tools such as Asana and Slack.
Values Alignment: Demonstrated understanding of the intersections of racial, economic, and environmental justice, and committed to transformative change.
Strategic: Self-motivated and strategic thinker who is able to steward our budget with care, and adapt as the organization shifts and grows.

This is a 100% FTE hourly position. Salary range is $65,000-$75,000. Movement Strategy Center’s 100% FTE benefits package includes:
  • 20 days vacation leave per year;
  • 13 standard holidays and 2 personal days per year;
  • 12 sick days per year;
  • 1 week paid MSC family and medical leave after one year of service; an additional week of paid leave for each additional year of service, up to 4 weeks;
  • Medical, vision, dental for employees and dependents (requires 30 day waiting period and a per paycheck employee contribution);

Additionally, HEAL closes down our office for a winter hibernation period and a summer rejuvenation period.

Exceptional candidates from any region will be considered, and all staff are working remotely at this time. HEAL maintains an Oakland office, and local staff are welcome to make use of this space. For remote employees, HEAL offers reimbursement for work-related internet, cellphone, and other office needs. When public health conditions allow, domestic travel will be required for meetings and conferences.
