About Us:

Job description

Job Summary

The Executive Assistant (EA) will support Chef Pierre Thiam across all his activities to bring his work to life.

Functioning as an external and internal-facing representative of Pierre Thiam, the role is the primary liaison for managing all administrative responsibilities. The EA is expected to proactively gain a deep understanding of the philosophy, and approach to work of Thiam and his stakeholder entities. The EA will collaborate with members of the partner organizations and external stakeholders to ensure seamless engagement. The actions of the EA are highly visible and have significant impact on Chef Thiam, his businesses, and even sustainable development and climate-change mitigation in Africa.

The ideal candidate for this role possesses a unique blend of strategic thinking, a nimble and collaborative spirit, organization, efficiency and attention to detail, excellent communication skills, poise, and confidence.

Responsibilities

  • Calendar, email, project, and account management for Chef Thiam via Google applications, Slack, and Asana project management.
  • Actively engage with other internal teams and drive projects.
  • Regularly interface (via email and/or phone) with external stakeholders and interested parties to schedule meetings and events involving Chef Thiam.
  • Manage and book Chef Thiam’s travel.
  • Communicate regularly with team members associated with external stakeholders and Chef Thiam’s team.
  • Manage and track expenses for Chef Thiam.
  • Keep Chef Thiam apprised of upcoming deadlines, that require his attention and/or action in advance. Specifically, being mindful and organized with meeting materials and immediate priorities (who needs what by when); this will include detailed inbox management and communication/response strategies.
  • Provide strategic support to ensure Chef Thiam has the time, resources, and materials needed to accomplish goals and deliverables.

Traits and Skills for Success

  • You are highly organized, efficient, communicative, and proactive.
  • You think and operate strategically. You are comfortable with decision-making and planning. You are three steps ahead, constantly anticipating problems and fixing them before they occur—then fixing them again when everything changes.
  • You bring a fusion of systems thinking and creativity in your ability to see the whole system and use excellent judgment in finding innovative ways to get the work done.
  • You use excellent communication skills to gain the context necessary to perform tasks and projects, and adopt a can-do attitude. You communicate with graciousness and poise, minimizing the ripple effect on Chef Thiam and/or key stakeholders should problems arise.
  • You demonstrate an ability to prioritize and re-prioritize as necessary, and are prepared to make informed, independent decisions.  You are a problem-solver, willing to get creative to make it happen.
  • You take pride in accuracy and professionalism. You show great attention to detail, thoroughness, and follow-through.
  • You have the confidence to ensure that Chef Thiam adheres to his commitments.
  • You love collaborating in teams of diverse talents and skills, taking on work in a collegial, collaborative, open and friendly way.
  • A huge plus (any/all): you have a passion for food and sharing foodways and cultures, in food systems, the African diaspora, and have an understanding of the broader culinary landscape.

Qualifications

  • 3 to 5 years executive assistant experience in a fast-paced executive office—ideally within a creative or culinary industry
  • Bachelor’s degree preferred but not required
  • Proven ability to collaborate in an administrative and collaborative environment
  • Exceptional judgment
  • Excellent written and verbal skills
  • Expert knowledge of Mac OS, Google Applications, and Squarespace
  • Comfortable with Facebook, Instagram, LinkedIn, and communication on Slack
