We offer multiple food education programs. At our 18th Street Kitchen in San Francisco, we host paid cooking classes with chefs from around the world, and ticket sales help support our free programming for low-income families. Through our Community Programs, we offer three, multi-week cooking and nutrition education programs for youth, families, adults, and birthing parents: Cooking Matters, Food As Medicine (FAM), and Nourishing Pregnancy. About you:
This role is for an experienced non-profit operations professional and an opportunity to take your skills to the next level while supporting a dynamic community organization entering our 18th year of growth. The Operations Manager is a systems-minded, proactive, and detail-oriented leader who bridges the work of the Director of Operations and Assistant Operations Manager. This position manages core operational systems in finance, HR, and compliance, and ensures that workflows across departments are efficient, clear, and compliant with funder requirements.

The person in this role is responsible for supporting the organizational infrastructure and plays a key role in strengthening our operational systems to support the growth of 18 Reasons’ and championing our core values of Food, Heart, Learning, Liberation, and Moxie. You will report to the Director of Operations and will supervise the Assistant Operations Manager and additional members as the department grows. Job description
Responsibilities
Finance
- Oversee financial management of major operational partnerships
- Lead monthly closing processes and for the Leadership Team and Finance Committee
- Implement and maintain financial compliance systems and controls for day-to-day operations across departments
- Monitor budgets, expenses, and forecasts to ensure alignment with organizational objectives
- Support preparation of annual audits, assist in coordinating responses to auditor requests
- Manage grant fund spend down and allocation; oversee preparation and submission of grant invoices, including health plan claims (CalAIM and Medi-Cal managed care plans), ensuring compliance with funder and regulatory requirements
HR
- Oversee the hiring and onboarding process in collaboration with the Director of Operations and hiring managers, including job postings, scheduling, documentation, and offer letters.
- Manage staff and contractor paperwork across the full employment lifecycle: onboarding, offboarding, benefits enrollment, and document maintenance
- Ensure HR compliance by tracking certifications, required training, and annual policy acknowledgments
- Supervise and mentor the Assistant Operations Manager, supporting their professional development and alignment with department priorities
- Manage Americorps VISTA onboarding and reporting requirements
Systems Development
- Develop and implement workflows to ensure compliance with funder and health plan requirements (CalAIM, Medi-Cal, etc.).
- Identify opportunities to automate or streamline recurring processes in collaboration with the Director of Operations
- Partner with staff across departments to ensure clear communication and adherence to compliance standards
Organization Operations & Culture
- Support the Director of Operations in organization-wide planning, policy updates, and process improvements.
- Manage and conduct culture interviews for all staff and the annual culture change committee process that promotes a positive, growth-oriented culture.
- Participate in staff learning days, committees, and support broader staff development
- Attend weekly one-on-one and team meetings
- Contribute to the overall culture and business growth using our Culture Standards Guide as a tool for self-reflection and an ongoing commitment to self-growth, the growth in others, and the growth of the company

Requirements
- 3–5 years of experience in business operations, including finance, HR, and compliance management. Preferred experience from a nonprofit.
- Strong understanding of nonprofit financial systems, including budget management, grant invoicing, and funder compliance; experience with government or healthcare billing (e.g., CalAIM, Medi-Cal) is a plus but not required; we are willing to train the right candidate
- Experience managing or supervising staff.
- Proficiency in Google Workspace, QuickBooks Online, Asana, Salesforce, HR/payroll platforms such as Gusto, & expense tracking platforms such as Brex
- Excellent organizational and project management skills with strong attention to detail.
- Clear written and verbal communication skills, including the ability to translate complex compliance requirements for non-finance staff
- Ability to balance strategic thinking with hands-on execution in a small, fast-moving team

Physical requirements
This position requires being on your feet 5% of the time, driving 5% of the time, working in a virtual office setting 80% of the time, and working in person 20% of the time. While in the field, frequent lifting, moving, or carrying supplies up to 15 pounds, including use of stairs, is required. General office duties include: computer work, filing, phone communication, copying. The ability to travel to 18 Reasons on-site meetings and educational workshops throughout the San Francisco Bay Area and surrounding counties, as needed, is required. Classification & Compensation
This is a full-time, salaried position. 18 Reasons has an equitable and transparent compensation policy; we do not negotiate salaries. To read more about our compensation philosophy, click here. The salary will be set by the number of years of experience the candidate has in a similar position (Manager level or above):

This position will report to the Director of Operations and will supervise the Assistant Operations Manager
Compensation
this position is: salaried, varies DOE, $86,000.00 - $94,000.00
