Market Manager Woodstock Farm Festival

Company description The Woodstock Farm Festival connects local growers, bakers and prepared food vendors with consumers, and the Woodstock, NY business community. The Farm Festival is a wonderfully fun, vibrant, family-friendly community event located right in the center of town. Located on Maple Lane in the heart of historic Woodstock, NY, the WFF operates from 3:30- dusk every Wednesday from May 31st through October 18th, rain or shine. Job description We are seeking a part-time, contract Market Manager (MM) to guide the upcoming 2017 season – our 10th anniversary! The WFF is staffed by one part-time contract MM who works an average of 32 hours per month from January - October with heavier workloads anticipated during the Market season. The MM is assisted by two, part-time Site Managers who are responsible for the majority of set up, breakdown and security during the markets and a volunteer Committee.

RESPONSIBILITIES: The Market Manager guides all aspects of the WFF and will be expected to:
  • Determine an operating schedule for the 2017 season by January 15th. 
  • Attend all Wednesday markets, arriving by 1:30 PM and staying until dusk or whenever breakdown is complete. 
  • Work within the operating budget created by the treasurer and the market manager and approved by the committee. 
  • Observe and enforce the Rules & Regulations of the WFF, located at: http://www.woodstockfarmfestival.com/forms/RULES & REGS amended 1.24.16.pdf 
  • Ensure the orderly and efficient operation of the WFF including working with the police to remove any parked cars from the Market lot by 2:00 PM to allow vendors adequate time to set up, ensuring that set up and breakdown occur on schedule, answering questions from vendors and patrons, keeping the peace, etc. 
  • Work with the Vendor Selection Committee to establish the requirements for vendor and product selection. 
  • Secure vendors and process all vendor applications – reach out to existing and potential vendors to gauge their interest, supply applications, set expectations with regards to when applications are due, follow up to ensure timely return of completed vendor applications and process completed applications upon receipt.  Process all vendor payments, fees and dues on a weekly basis in accordance with the vendor fee schedule located at: http://www.woodstockfarmfestival.com/forms/RULES & REGS amended 1.24.16.pdf. 
  • Collect all checks and cash and photocopy prior to making weekly deposits. 
  • Provide a weekly accounting of cash box monies and checks to the treasurer. 
  • Handle general market correspondence as well as vendor communications. 
  • Work with the Events Committee to set the event calendar for the season by April 1st. 
  • Address any and all vendor and customer complaints in a timely, professional manner. 
  • Perform farm/business inspections for prospective vendors by March 15th as well as on an as-needed basis to be determined by the Vendor Selection Committee. 
  • Maintain regular (weekly or more often) communication with the Farm Festival Committee & Site Manager(s). Attend all monthly committee meetings and sub-committee meetings, as needed. 
  • Develop press releases on a weekly basis to promote things like WFF opening day, special events, etc., and submit them to the local newspapers. Ensure that the WFF web site is updated prior to the start of the 2017 season with the correct events, sponsors and vendors and update the site periodically throughout the season. The Market Manager can either make these updates him/herself or find a trained volunteer to handle the updates. 
  • Draft, set up, test and send a weekly email newsletter to the WFF email list no later than Tuesday morning to promote the upcoming Wednesday market, highlight the produce and products that will be available, promote the musical line up and any special guests or events and, when possible to share a relevant recipe. 
  • Post several times weekly to the WFF’s Facebook page to promote the events and seasonal produce.

DESIRED SKILLS AND EXPERIENCE:
  • Prior experience managing or assistant managing a farmers market, farm stand, retail grocery or restaurant. 
  • Success planning and managing budgets, schedules and live events. 
  • Proven ability to meet deadlines. 
  • Excellent oral and written communication skills. 
  • Familiarity with Facebook and email marketing, experience with MailChimp a plus. 
  • Self-starter with a can-do attitude and a positive, professional and patient approach to dealing with vendors, patrons and volunteers. 
  • Familiarity with Woodstock a plus.
