The Organic Trade Association (OTA) is the membership-based business association for the organic industry in North America. Our mission is to promote and protect organic trade to benefit the environment, farmers, the public and the economy. We envision organic products becoming a significant part of everyday life, enhancing people's lives and the environment. 

We represent businesses across the organic supply chain and address all things organic, including food, fiber/textiles, personal care products and new sectors as they develop. Over 60 percent of OTA trade members are small businesses. OTA has an independent non-profit 501(c)(3) research and education organization, The Organic Center (TOC), which operates under its administrative auspices.

Job description

We’re looking for a new high-functioning team member to support a packed calendar of activities and high-profile events that aim to advance organic food and farming. We are a fun, highly productive organization of overachievers looking for a new full-time project coordinator to work in support of our cross-functional, multi-location team from our location in downtown Brattleboro, VT.

 

Responsibilities:

  • Ensure success for major activities, events and conferences through effective project management and marketing oversight. Keep all stakeholders on track over the course of the event lifecycle; manage master calendar of events.
  • Serve as primary contact for all major events, facilitating strategic meetings, maintaining staff schedules, tracking and reporting on deadlines and critical path points.  Establish and track timelines, milestones, and next steps; update team members, websites and associated databases. Develop and manage event-staffing plans.
  • Operations support for events that OTA organizes and attends. Support staff with administrative management, collateral development, inventory and shipping.
  • Develop marketing strategy and implementation plans to meet event goals. Oversight on event launch needs, including website management, target lists and team updates. 
  • Facilitate event marketing and promotion. Coordinate event programming, stewardship, and collateral. Offer strategic insight to ensure the best possible attendee experience.
  • Provide general communications support. Serve as liaison between staff, graphic designers, web developers, printers, mail houses, photographers and other vendors. Develop OTA PowerPoint presentations, format documents to OTA style standards.
  • National travel required multiple times per year.

  • Ability to produce accurate, timely, and quality work; personal accountability for meeting objectives.
  • Self-starter, ability to troubleshoot and manage projects independently.
  • Highly organized, extremely proactive; desire to stretch beyond task list to manage up.
  • Flexible and able to adapt quickly to changes in priorities.

 

Required experience and skill set:

  • Bachelor’s degree in Marketing, Communications, Business or any field that provides transferrable knowledge to the job expectations preferred.
  • Experience with event production and/or project management strongly preferred.
  • Attention to detail is a key competency.
  • Articulate communicator, strong writer, with excellent self-editing skills.
  • High-level computer competence, extensive knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
