The Financial Administrator is responsible for providing support to RAFFL’s Executive Director with financial management as well as other organizational needs necessary to ensure efficiency in a small, busy non-profit.

COLLABORATION

  • The Financial Administrator reports directly to the Executive Director.

  • The Financial Administrator does not directly oversee any other position.

  • The Financial Administrator works closely with:

    • Executive Director: to execute all tasks related to financial operations and maintain accurate records in donor database.

    • Program Staff: to provide regular budget and grant expenditure reports.

    • All Staff: to support financial administrative and some organizational needs

SCHEDULE

This is a part-time, year-round hourly position, requiring between 15 to 20 hours/week with potential to grow into a fufull-timeosition with additional responsibilities.

JOB RESPONSIBILITIES

Financial Administration

  • Prepare and maintain financial records for agency accountability and review.

  • Assist with development of the organizational budget.

  • Ensure compliance with internal control and accounting policies and procedures.

  • Support compliance with grant requirements and tracking expenditures

  • Prepare budget reporting and monitoring information and other support for Executive Director.

  • Prepare monthly reports for program staff to review progress on grants as well as periodic reports to our funding sources.

  • QUICKBOOKS: Ability to track and manage program, grant and organizational budgets; input, track and manage program, grant and organizational funding and expenditures; ensure accurate and up-to-date data

  • Track Temporarily Restricted and Unrestricted Net Assets.

  • Communicate effectively with outside tax accountant.

  • Maintain associated hard copy and soft copy files.

  • Gather payroll data and submit payroll data according to payroll schedule.

  • Review payroll and resolve any issues in a timely manner.

  • Participate in annual financial reviews and/or audits, as needed.

 

Bookkeeping

  • Handle all accounts payable duties and assure that vendors are paid on time, including processing invoices, issuing and mailing checks.

  • Maintain general ledger and subsidiary journals, including cash receipts, accounts payable, expense reports, and accounts receivable.

  • Manage vendor relationships and resolve billing issues.

  • Prepare annual filing of 1099s.

  • Handle accounts receivable duties including all income and donations to the organization and individual programs, contracts, special event income and other duties, informing appropriate staff as needed.

  • Assign accounting codes and allocate expenses to departments and funders

  • Reconcile bank statements, credit card statements, and payroll.

  • Ensure on-line payment systems are PCI compliant and that RAFFL remains PCI compliant.

  • Manage the set up and ongoing systems to accurately track receipt of ACH transfers, credit card processors, and other electronic payment systems.

Organizational Development

  • Collaborate with other RAFFL staff to support organizational strategy and development, evaluation, and collaboration including attending staff meetings, participating in organization-wide events and appeals, and stepping in to assist others with tasks as needed.

  • Assist the Executive Director with administrative duties as needed and requested.

  • Other duties as assigned.

QUALIFICATIONS

Required skills

  • Excellent verbal and written communication skills and ability to communicate with a diverse group of co-workers, stakeholders and community members

  • Strong financial literacy with ability to communicate to both a specialized and non-specialized audience

  • Strong and demonstrable experience in financial management and bookkeeping

  • A self-starter with a demonstrated passion for supporting organization success

  • High school diploma or equivalent

  • Familiarity with or desire to work in non-profit sector

  • Proficient with Quickbooks accounting software, cloud based office management systems and spreadsheets, Microsoft Office Suite software and G Suite for Business.

Desired Skills

  • Associate's, Bachelor’s or Master’s degree in finance, nonprofit management, or related experience in the field

  • Proficient with DonorPerfect or similar donor management system

  • Program management and event management experience

Physical Requirements

  • Continually able to sit at a desk and work in an office setting to execute job responsibilities.

  • Occasional off-site travel as needed for special events.
