Job description
Position Summary: The Administrative Coordinator is primarily responsible for all aspects of office administration and provides support to the Executive Director and Bookkeeper. Willing Hands is seeking a very organized, positive, proactive person with the ability to multitask strategically, think creatively, and who is excited about supporting our mission of reducing food waste, fostering healthy eating, and fighting hunger.

Willing Hands grows, gleans, and recovers nourishing fresh food and distributes it for free to our neighbors in need through a network of nearly 80human service organizations in the greater Upper Valley region of Vermont and New Hampshire.
Financial Management Support
- Process donations/payments in Little Green Light donor database. Create donor thank you letters.
- Prepare expenses and payments for approval. Maintain files of all income and expenses. Create invoices.
- Manage Office/Admin Volunteers.
- Support payroll by collecting timesheets and submitting them for approval..
Office Management
- Answer telephone calls and emails and direct them to relevant staff.
- Monitor office supplies and ordering as required
- Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.
- Support donor stewardship.
- Provide admin support for human resources functions including hiring, benefits, payroll, and professional development.
- Provide administrative support to the Executive Director as needed.
Program Support
- Provide data management and data entry support to Willing Hands programs including entering weekly food pick up and delivery numbers.
- Enter weekly volunteer hours and maintain volunteer contact lists.
- Other duties as assigned.
Position Requirements:
- Proven experience as an office administrator, office assistant, human resources generalist or other relevant role
- Outstanding organizational skills
- Ability to maintain confidentiality and sense of professionalism while interacting with all levels of employees, communication and interpersonal abilities
- Familiarity with office management procedures and basic accounting principles
- Strong Microsoft Office and PC skills
- High school diploma; BS/BA in office administration or relevant field is preferred
Additional Position Considerations: This position requires availability during regular office hours and a set schedule. This position requires access to transportation for meetings at the Willing Hands Norwich facility, and the ability to function in a traditional office environment including using a computer for long periods of time.

- Work in a safe manner and report any safety hazards to the Executive Director
- Maintain individual workstation and office in a clean, attractive manner
- Practice good work habits of flexibility, efficiency, punctuality, dependability, and confidentiality
- Strive to upgrade existing skills and learn new ones
- Employ good communication skills by sharing information, listening to others, and giving positive input
- Work as a team member by helping others and making suggestions for improvements
