Job description

Experience Coordinator

The Experience Coordinator is a member of our Experiences Team and is responsible for planning and activating each assigned event, including client and vendor communication, event document management, and the day-of activation for each event. This role requires a creative and detail-oriented individual with excellent organizational and communication skills. Additionally, the ideal candidate should be tech-savvy and comfortable working with and adapting to new technology platforms.

The responsibilities of the individual in this role may include, but are not limited to:

Event Responsibilities:

  • Manage the execution of details for booked events and staffing placements; including booking and communicating with chefs, menu development/approvals with clients, PEO development, managing rentals, car rentals, staffing, and any other needs relating to clients and vendors during event activation stages.
  • Assist Experience Managers on complex activations.
  • Serve as onsite manager at assigned events to ensure smooth and successful execution
  • Maintain clear, concise, effective, and timely communication with clients, vendors, and the dineDK team.
  • Create event documents such as run of shows, floor layouts, packing lists, etc.
  • Prepare post-event reports in collaboration with the dineDK Team and vendors.

      • actual hours worked
      • quality reports with staffing agencies, to keep staffing list healthy
  • Keeping records up to date in Copper CRM.
  • Act as the on-call contact for clients regarding managed events.
  • Execute within budget parameters.
  • Manage event tech, including Google Workplace, Staffing Platform (Ubeya), CRM (Copper), and internal communication system (Slack), in collaboration with the dineDK Team.
 

Team:

  • Collaborate with the dineDK Experience Team on sales efforts, special projects, and new service development.
 

Qualifications/ Experience:

  • 3-5 years of experience in the hospitality business or a related industry, preferably in a corporate or luxury catering environment.
  • Bachelor's degree in Event Management, Hospitality, Marketing, Culinary, or a related field.
  • Must be able to demonstrate exceptional organizational skills and a track record of successful project execution.
  • Exceptional time management skills, ability to prioritize, and impeccable attention to detail.
  • Tech-savvy and comfortable working with and adapting to new technology platforms.
  • Quick learner with a proactive attitude toward adopting new technology platforms.
  • Experience with Google Workplace, CRM (Copper), internal communication system (Slack), and Zoom preferred.
  • Familiarity with budget management and financial reporting.
  • Must thrive in a fast-paced, do-it-yourself environment.
  • Strong verbal and written communication skills.
  • Ability to complete a high volume of tasks and projects with minimal guidance.

 

Benefits - Scope of Work:

  • This is a hybrid, work-from-home position with in-person event management determined on an as-needed basis. Candidates must be able to commute to events in NYC and across the tri-state area, as well as our office in Jersey City when requested.
  • We offer health and dental benefits.
  • Compensation: The full-time salary range for this position is $40,000 - $50,000 per year, commensurate with experience and qualifications.
  • Schedule: This is a full-time position, but we will consider a flexible candidate who can work part-time (25-30 hours per week) during the spring and summer, then full-time in the fall and winter.
