The purpose of the Project Manager is to create a seamless transition from the end of Design through the end of Installation, finally passing the project off to Caretaking.  They are accountable to delivering an excellent client experience and to communicate impeccably with the Shades of Green team.  

 

Role + Responsibilities

  • Ensure that an amazing client experience is upheld, and provide valuable education along the client journey to enroll them in our values and practices as they express in their specific design and installation 
  • Attend design presentations as needed
  • Be familiar with design deliverables and standards
  • Attend internal and external VE meetings, taking the client handoff from designers and tracking all changes, communicating with clients regularly, and organizing design deliverables and pricing information according to SOG standards 
  • During Value Engineering process pay attention to detail, making sure the design is buildable and the budget is accurate and convert projects from design to install according targets
  • Conduct administrative tasks to move client through pipeline from design to install, utilizing accounting and CRM softwares 
  • Set and manage the install calendar, updating the team and the client with all relevant changes and information 
  • Participate in plant sourcing decisions being the primary contact for the Horticulture Coordinator and for the client, engaging designers as needed 
  • Attend WORM to present all details of upcoming projects to the install team and resolve and questions or issues that come out of the meeting 
  • Track changes to install proposals once the deposit has been received and during install and communicate changes promptly with Install Manager
  • During install conduct regular site visits, meeting with the client and team as needed 
  • Throughout install, provide clients with up-to-date information to give the internal team what they need to keep the ball rolling and field client questions, seeking the answers from the team as needed. 
  • Once install is complete, manage project closeout including punchlists and additional phase costing requests, and then hand off to caretaking.
    • Participate in optimizing core processes to improve efficiency and integrate feedback, and adjust responsibilities/work product to match most current workflow
    • Measure and record relevant KPIs
    • Provide sales process feedback to the COO
    • Other duties as delegated by the COO
    • Attend managers’ meeting
    • Keep CRM updated with relevant client communications and information, for all to reference
    • Celebrate client successes, and oversee gift/thank you card process

    Day in the life of the Project Manager

    This is a dynamic position that requires the ability to shift between a variety of tasks easily. As the face of the SOG Sales Process from design to installation, the Project Manager needs to be comfortable with giving kind yet clear feedback, and also embody the ability to receive and integrate feedback. At Shades of Green, we value hard conversations and the ways they allow us to deepen trust with our team members. You will regularly shift from client calls to answering active installation questions, and will need to adapt our process to meet the needs of the project. You will conduct site visits, and work in accounting software and spreadsheets.  This position requires a great deal of flexibility, client care enthusiasm, attention to detail, time management and organization. The PM is excited to build systems where they do not exist and to improve systems that do. Each day will contain opportunities to work collaboratively and autonomously. 

     

    Requirements

    • Strong written and verbal communication skills

    • Fluency in QuickBooks, Excel and GSuite. 
    • Experience and knowledge of permaculture building techniques and native and useful plants of our area
    • Strong problem solving, critical thinking, and information gathering skills 
    • Excellent time management and organization skills
    • Willingness to consistently follow a process
    • Ability to self-direct work 
    • Ability to work directly with clients, and appropriately manage expectations
    • 5+ years professional experience in the industry
