About the Position
We are seeking a skilled and experienced Freelance Event Coordinator to join our team on an event-by-event basis. As a vital contributor to our dynamic event planning team, the Freelance Event Coordinator will play a pivotal role in orchestrating seamless and memorable events. With an average commitment of 10-15 hours per event, you will ensure that every operational detail is meticulously planned and executed. This role encompasses the coordination of approximately 2-3 events per month, starting with 1 event per month upon hiring. All events coordinated by you contribute to fundraising for our youth education programming, making a meaningful impact.
Roles & Responsibilities:
Operational Excellence:
- Oversee all aspects of food ordering and budgeting in alignment with the event menu curated by the chef.
- Lead the hiring and management of Back-of-House (BOH) and Front-of-House (FOH) staff for events, ensuring a skilled and dedicated team.
- Secure appropriate kitchen spaces and equipment for event preparation, facilitating a smooth culinary experience.
- Collaborate closely with the event chef to conduct event preparation.
- Organize the run of show for each event in close collaboration with the Managing Director.
Comprehensive Event Coordination:
- Lead the event coordination process, actively participating in all stages and tasks, even if just as a point of contact.
- Facilitate menu planning and coordination with chefs, ensuring culinary offerings align with the event's vision.
- Coordinate and manage logistics with chefs (any prep, ordering, etc.)
- Oversee the rental process of plateware, equipment, etc. ensuring timely booking and delivery.
- Manage staffing requirements, ensuring the right team is in place to deliver exceptional service.
- Manage food ordering, ensuring timely procurement of ingredients and supplies.
- Oversee the execution of each event on the day itself (separate hours to event planning and coordination), ensuring a seamless and successful experience.
Qualifications and Experience:
- Proven experience in event coordination and management, with a strong focus on culinary events.
- Bonus if you have prior culinary experience yourself.
- Adept at managing multifaceted events, with a keen eye for detail and logistical prowess.
- Excellent organizational and time-management skills, enabling efficient event preparation.
- Strong communication skills to facilitate effective collaboration with chefs, staff, and stakeholders.
- Resourcefulness and creative problem-solving abilities, adeptly navigating unexpected challenges.
- Flexibility and adaptability to thrive in a dynamic and fast-paced event environment.
Preferred Approach:
- Experienced in working on a retainer or managing a specific number of hours per month.
- Possesses entrepreneurial spirit or has managed their own events business.
- Comfortable taking on responsibilities beyond the traditional event coordinator role, ensuring comprehensive event success.

Compensation
