Food Roots seeks a detail-oriented, reliable, and enthusiastic Administrative Assistant/Bookkeeper to fill an extremely flexible part-time position with room for growth.

Food Roots’ staff is a close-knit team of eight people who are passionate about our mission and committed to supporting each other as well as the community as a whole.
The Administrative Assistant/Bookkeeper position will begin ASAP, no later than mid-November. This position will be part time initially, to provide emergency coverage while the Food Roots Executive Assistant is away from the office on family leave. However, we expect the position to continue when she returns from leave. Moreover, we anticipate additional staffing expansion in the next six months, which could include adding responsibilities to this position to make it full time if the new hire is interested.
Key Responsibilities
- Begin training with the Executive Assistant starting as soon as possible, before her leave begins (11/20/23)
- Work closely with Food Roots’ Executive Director and contracted Bookkeepers on regular accounting tasks, grant tracking, and other fiscal management
- Pay bills, acknowledge donations, make deposits, send invoices, reconcile bank statements, assist with payroll, and related financial tasks
- Liaison between Executive Director and program staff to ensure adherence to organizational policies/procedures, income and expense procedures, etc. (e.g., sending timesheet deadline reminders)
- Maintain all physical and digital financial documentation, including providing scans of income and expense documentation to Bookkeeper and Executive Director
- Coordinate the monthly newsletter, other marketing communications, and website updates with staff and volunteers
- Maintain effective, reliable line of communication with Executive Director, who works a hybrid schedule with several days each week out of the office, and assist her as needed
- Provide backup assistance with Food Roots’ Marketplace or other programs (as needed and as time permits)
Preferred Qualifications
- Substantial experience as an executive assistant, bookkeeper, and/or administrative assistant
- High-energy individual with a strong work ethic
- Excellent verbal and written communication skills
- Exceptional organization and attention to detail
- Competent working with Google Drive
- Comfortable working with spreadsheets and performing the basic mathematical functions needed for standard bookkeeping tasks for a financially complex organization
- Able to learn new software systems with relative speed and ease (e.g., Foundant’s NonProfit Core, our software for accounting/CRM/grant management)
- Able to work with limited supervision, but does not hesitate to ask questions or ask for assistance when needed
- Team player willing to support programming, fundraising, and other activities on occasion
- Spanish language skills (desirable but not required for routine job responsibilities)
- Training or experience related to grant writing, other fundraising, social media marketing, volunteer coordination, delivery driving, and/or customer service in a grocery/market environment (desirable but not required for routine job responsibilities)
- Home internet access and reliable transportation are required for this position, as our office is located in a rural area without access to public transportation.

Terms and compensation
We are flexible! This will start as a part-time position, which can be from .4-.6 FTE (16-24 hours per week) depending on the successful candidate’s availability. We are open to candidates who would be interested in a long-term/full-time opportunity to work with Food Roots as well as candidates who prefer part time or who only want a shorter-term position (6-12 months). We can accommodate scheduling constraints when creating a part-time weekly work schedule. While this position mostly requires being in the office, some work-from-home flexibility is available.
Pay will start at $22 per hour, and will increase automatically in the form of a 3% COLA every year on July 1.
Employees scheduled to work at least .5 FTE are entitled to all Food Roots employment benefits, including health benefits, employer-paid health insurance premiums during Oregon Paid Act leave (after your first year of employment), access to professional development funds, automatic COLA, reimbursement for non-commute work-related mileage, paid holidays, and PTO. For these eligible employees, Food Roots provides 100% employer-paid Moda health insurance with a vision rider.
Employees scheduled to work less than .5 FTE are not eligible for PTO or medical benefits but receive the other benefits.
Paid time off is accrued at a rate of 16 hours per month for full time staff, prorated for part time staff over .5 FTE. We provide ten paid holidays ordinarily, but in 2023 Food Roots has authorized extra holiday pay for the whole week between Christmas and New Years.
Compensation
