What We’re Looking For:

FoodCorps is looking for a highly organized candidate to provide support to FoodCorps’ Co-CEOs. Reporting to the President and Co-CEO, the Executive Coordinator will provide critical administrative support to ensure that the organization’s executive leaders are operating with efficiency and efficacy through clear systems. Thanks to your efforts behind the scenes, we will leverage maximum benefit from our executive leaders, especially our President and Co-CEO, run exceptionally effective governance and management meetings, and stay on target to meet our ambitious strategic goals. This is a full-time position.

You have strong organization skills, but remain flexible: your experience working with experienced, senior leaders and scheduling for individuals and groups allows you to remain nimble as priorities shift and urgent high-stakes projects arise. You are capable of dealing with a variety of personalities in situations requiring diplomacy, poise and firmness. You enjoy working behind the scenes, knowing that your ability to build relationships with the executive assistants of donors and manage up to the President and Co-CEO and Executive Team will be invaluable assets to the organization.

Primary Responsibilities:

• Provide streamlined calendar management for the Executive Office: Manage scheduling and logistics for regularly occurring meetings; prioritize meeting requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
• Support executive meeting preparation and success: Ensure the President and Co-CEO is provided with detailed itineraries and briefing materials, pre-readings, meeting decks, and other relevant content for internal meetings and events, by developing and/or coordinating with appropriate FoodCorps staff.
• Complete a broad variety of administrative tasks that facilitate the Executive Office’s ability to effectively lead the organization, including: supporting meeting notes, tracking deliverables and next steps; occasionally assisting with special projects; making travel arrangements (site visits, new site prospecting, partnerships, retreats, executive meetings, and Board meetings, and other travel); managing travel and event contracts; and completing expense and mileage reports.
• Provide administrative support to the CEO’s fundraising activities: Field requests for Co-CEO activation from fundraising staff and collaborate to prepare the Co-CEO for funder meetings; manage fundraising travel planning; maintain the Co-CEO’s fundraising calendar and partner closely with executive assistants of donors to secure and schedule high-value meetings.
• Provide administrative support to the CEO’s policy and advocacy activities: Field requests for Co-CEO activation, ranging from panels to keynotes to legislative meetings, from policy and advocacy staff; manage policy and advocacy travel planning; and partner closely with programs staff, as necessary, for state and local coalition activities.
• Support FoodCorps’ internal communications: Support scheduling, logistics, and materials prep for regularly occurring All-Staff meetings.

Required Skills and Experience:

• Proven experience as an executive assistant or other relevant administrative support experience.
• Superb attention to detail and organizational skills, with the ability to track and execute on highly-detailed deliverables.
• Skilled project manager; ability to prioritize and manage multiple work streams at once.
• Strong, capable relationship builder, with the ability to work as a team player and also to work independently with minimum supervision.
• Entrepreneurial, with a creative drive to solve problems and identify and fill gaps.
• Learning oriented, with a desire to seek and use feedback to shape your work.
• Effective written and verbal communicator, comfortable communicating through phone, email, and video chat functions and speaking in front of large and small groups
• Experience reporting directly to a senior leader or C-suite executive.

Compensation

this position is: salaried, $50,000 - $75,000
