Job Description: Saba is a non-profit start up in phase one seeking a Head of Operations.
Saba currently manages a 3,000 sq ft warehouse space in Jack London which is the site of our produce storage, packing and delivery operations to corner stores in the City of Oakland, and institutional buyers in the East Bay. This position will engage in strategic growth plans. This role will be responsible for the day to day functioning and confidentiality of the organization. They will develop, organize, delegate, maintain and manage operational duties and ensure all company facilities are in optimal condition for our operations. This role involves overseeing government grant management and administration.
Key Responsibilities
Operations
- Partner with Managers/ HR on hiring initiatives including but not limited to associate retention programs, training, and staffing trends
- Creates and implements company wide SOPs, policies/procedures
- Accounting and audit oversight, and work with outside accounting firm
Implement new sales/purchasing department and set produce sales strategy with ED - Maximize current ERP system (Odoo Inc.) with use for streamlined operations
Ensure compliance with all health and safety regulations. - Oversee the maintenance, repair, and improvement of company facilities.
- Oversee and troubleshoot operations as needed
- Liaison in contract negotiations
- Support/Work directly with Executive Director to prepare and create budgets, capital budgets, operational reviews, expense reports, and other related reports necessary to manage and improve performance
- Collaborate with marketing team to develop future marketing plans for each area and follows up on implementation to achieve the overall marketing goals for the company
- Monitor vendor performance to ensure quality services
- Additional responsibilities as needed
Team Management/Supervision
- Manage Operations and Office Team while providing support, professional coaching, and effective feedback to increase management performance
- Ensure effective communication between operation, sales teams, marketing and office department
- Working closely with head of departments to improve efficiency
Development & Grant Management
- Oversee Fiscal Management of Federal and Government Grants
- Manage and oversee Federal grant
Engages in fundraising strategy and directs implementation
Strategic Planning
- Stay current on the market and the competitive landscape to identify opportunities for growth and expansion
- Engages/informs organizational strategy development
Budget
- Manages budget for each department
- Monitor expenditures and make cost-effective decisions
Qualifications
- 5-10 years of experience in business operations as Head of Operation, Sr. Operations Manager or similar role, preferably in produce or other food related industries
- Ability to build and maintain relationships with other businesses
- Ability to manage staff and contribute to strategic hiring decisions
- Ability to maintain and manage budgets
- Non-profit and retail experience preferred
- MBA or Business Management equivalent degree preferred
- Excel and software proficiency required. Comfort with technology required (i.e ERP system)
- 3+ years experience in ERP systems
- Proactive, organized, independent, motivated and detailed oriented manager
- Ability to multitask, maintain confidentiality and manage complex projects
- Experience in successful people management and acute soft skills
- Driving a vehicle is a requirement
Compensation and benefits
- This position currently reports to Saba’s Executive Director.
- Time: 100% FTE + benefits
- Location: Oakland, CA
- Compensation: $85,000-$100,000
- Benefits: Full healthcare, dental and vision coverage for employees. 26 days of PTO annually, 11 days company holiday, 401K match plan (4% company contribution, 1% employee contribution required), and a generous sabbatical policy
- Hours of operations: Saba’s office is open 8-5pm; 4 days on site, and 1 day work from home.
