Coordination Associate - Full Service Events
The Events Coordination Associate is a part-time position on the Full Service Events Team, responsible for keeping the event operation sheets populated with correct and most up to date information. The Coordination Captain works closely with both Event Sales and our commissary Operations Lead to make sure that every full service event team has accurate information about the event they are working and that all the logistical pieces of an event are completed by their appropriate deadlines.
Outlined below are the particular responsibilities and deliverables expected of this role:
Populating full service event spreadsheets with all the necessary information for event production and execution to include the Event Production + Packlist, Event Overview and other relevant sheets.
Filing for or requisitioning the necessary documentation to include SLA permits, Certificates of Insurance, and other relevant forms.
Coordinating with our full service events composting partner, Groundcycle, to confirm pickup of leftover food and organic compost from events.
Working with our commissary Operations Lead to highlight any special ordering needed for a specific event.
Communicating with Event Coordinators in the lead up to events to answer any questions or provide additional information.
Formatting and printing documentation for events including but not limited to labels for food, event coordinator spreadsheets, production and pack lists
Pulling the items on the pack list and working with commissary Operations to make sure infrastructure items are ready for transport and delivery.
Re-sorting items returned from events into their respective inventory homes at the Pixie Scout headquarters
Populating tip distribution spreadsheet and dropping in #payroll slack channel
Aggregating event reports from slack channels and dropping them into E
Making sure event reports are copied from slack into event spreadsheets

Job requirements:
1+ year of event experience; event production or coordination experience is preferred
1+ year of working in a professional food and/or beverage environment; experience managing inventories or spreadsheet-based information preferred
Able to read and understand inventories and checklists formatted in Google Sheets
Able to complete tasks that may require lifting up to 50 lbs.
English Language Proficiency: written and verbal fluency required
Google Workspace Proficiency including but not limited to Google Docs, Google Sheets, Google Slides
Job details:
Non-remote Part-Time position with a guaranteed schedule of fifteen (15) hours; Monday - Friday no earlier than 9:00 AM and no later than 6:00 PM
Preference for candidates who can work a schedule of three or more shifts, weekly
Additional shift hours available as needed with a manager’s permission
Required attendance at one weekly team meeting
Some scheduled hours assigned to asynchronous communication with team members
Opportunities to augment shift hours with Full Service Event Catering and other Pixie Scout endeavors outside of this role
Compensation Details:
Starting pay: $26.44 per hour
Paid Safe + Sick Leave (PSL) and Paid Time Off policies Pixie Scout employees have access to accrued Paid Safe and Sick Leave (PSL). For this position we are also offering twenty (20) hours of Paid Time Off.
Accrued PSL, 1 hour for every 30 hours worked

For this position, Pixie Scout covers 100% of the base medical plan premium as well as 50% of dental and vision plan premiums. Employer-Sponsored 401k Pixie Scout offers all employees an opportunity to enroll in our Employer-Sponsored 401k. We match up to 3.5% of employee contributions and only require 2 years of consecutive employment for those contributions to vest.
Compensation
