Job description
We are looking for a Private Events Logistics Manager to lead the full planning and execution of Outstanding in the Field’s contracted private events, ensuring each experience aligns with the brand’s high standards. Working closely with the Private Events Sales Manager, this role manages logistics, client communication, timelines, vendors, and on-site production.
Duties/Responsibilities:
Work at the Outstanding in the Field events in the capacity that is needed, including but not limited to:
Event Production
- Manage the full planning and execution of private events. For some events, this will be limited to food, beverage, and rental logistics. For other events, you will be solely responsible for planning and managing all aspects of the full-scale, high end event, from floor plans to timeline to vendors
- Lead post-sale client communication and relationship management
- Set, communicate, and maintain private event timelines and priorities both internally and externally
- Coordinate event Run-of-Show and oversee communications among management
- Manage vendors and create comprehensive documentation for on-site execution, building all resources needed for the ground team to successfully run events
- Building detailed event production workbooks for on the ground team
- Ensure compliance with insurance, legal, health and safety regulations, all laws and rules pertaining to alcohol on premises, and obtain any required permits and licenses
- Provide post-event analysis, budget recaps, internal and client feedback, and incorporate key learnings into future event plans
Financial Management
- Oversee overall event budget and process alongside Private
- Events Sales Manager to ensure all contracted vendors are staying within budget
- Event budget creation, submission, and reconciliation with Private
- Events Sales Manager and DOO
- Assist Private Events Sales Manager on change order compilation
Development Support
- Organize and maintain internal documentation for private event logistics
- Conduct research and development to identify and implement more efficient tools and systems
- Create standards and guidelines for chefs and vendors, such as chef-to-guest ratios
Additional Responsibilities:
- You will be expected to travel to the private events you produce.
Knowledge/Skills/Abilities
- Extensive event production experience is required, additional catering experience is a plus
- Hospitality experience and knowledge of BOH/FOH
- Project management experience; creative and resourceful problem solving
- Ability to work in a fast-paced, potentially high-stress environment
- Excellent communication and organizational skills
Compensation: $45/hr with additional travel pay
