Calling all hospitality professionals interested in working at the intersection of event coordination, office operations, and sustainable agriculture.
About the Role
Blue Hill at Stone Barns is seeking a highly organized and proactive Events & Office Coordinator to support events, office operations, and guest communications across both Blue Hill and Stone Barns. This full-time, in-person role plays a key part in the successful execution of events and the smooth day-to-day functioning of our campus.
Reporting to the Director of Events and Managing Director, this position serves as a central administrative hub—supporting event coordination, correspondence, scheduling, records management, and office and property administration. The ideal candidate is detail-oriented, adaptable, and energized by supporting multiple teams in a hospitality-driven environment rooted in sustainable agriculture.

Experience Requirements
- Experience in one or more of the following areas is preferred:
Hospitality and customer service
Events coordination or event operations
Office administration or executive support
Business operations
- Proficiency with Google Docs and email platforms required
- Experience with Tripleseat is a plus
Responsibilities
Tasks may include, but are not limited to:
Event Operations & Client Support
- Serving as a primary point of contact for event-related inquiries via phone and email
- Maintaining accurate client records, guest lists, event documentation, and internal databases
- Coordinating vendors, rentals, COIs, schedules, valet staffing, event photography/images, and post-event logistics
- Updating event menus and supporting weekly/monthly event reporting
- Supporting sales and marketing efforts, including seasonal email campaigns and client communications
Correspondence, Records & Finance Support
- Fielding general guest, member, and client inquiries for both organizations
- Maintaining filing systems, records, reports, and internal documentation
- Processing deposits and supporting invoicing and reconciliation in coordination with accounting
Office, Property & General Administration
- Overseeing office organization, supplies, mail, and deliveries
- Coordinating office cleaning, maintenance, and basic IT/printer needs with facilities and outside vendors
- Supporting staff and extern housing administration, including scheduling, rent collection, cleaning, and maintenance coordination
- Creating and maintaining the all-campus master calendar (events, programs, meetings, services)
- Coordinating meetings, greeting visitors, and supporting daily office operations across departments
Additional Duties
- Performing other job-related responsibilities as assigned
The Details
- Compensation: $23–$28 per hour
- Benefits: Medical, dental, and vision insurance; 401(k); Paid Time Off

- Location & Schedule:
Full-time, in-person position at Blue Hill at Stone Barns in Pocantico Hills, NY
Approximately a 1-hour commute from New York City
Schedule requires flexibility, including evenings and weekends
