Job description
Community Farmers Markets is seeking a part-time (up to 20 hrs/week) for administration and financial management. The Administration Manager is a part-time role responsible for overseeing CFM’s core administrative and financial operations. This position ensures strong controls, efficient systems, and accurate reporting while continuously improving internal processes. The Manager of Administration plays a key role in supporting organizational compliance and systems. Candidates must be available to start no later than March 10th.
Essential Duties and Responsibilities
- Oversee day-to-day administrative functions, including writing checks and managing online and paper filing systems.
- Check and process incoming mail.
- Maintain vehicle registrations and maintenance records.
- Work with the Operations Manager to facilitate vehicle repairs as needed.
- Develop and implement strategies for continual improvement of organizational efficiency and internal systems.
- Manage organizational G Suite.
Financial Administration
- Run payroll and manage staff reimbursement requests.
- Work with the Director of Leadership and the bookkeeper to enter data in QuickBooks.
- Pay all organizational bills in a timely manner.
- Pull and prepare sales reports from Square, PayPal, and credit cards monthly for the bookkeeper.
- Work with the Director of Leadership and Development Team to track and report individual and recurring donations.
- Track monthly expenditures against the budget.
- Facilitate the preparation of monthly cash flow projections.
- Check in weekly on finances with the Director of Leadership and monthly with the Leadership Circle and Operations Manager.
- Develop and send sales and fundraising reports weekly to the full team.
- Maintain petty cash and manage the organization’s safe.
- Develop and implement strategies to improve financial efficiency for the organization.
Compliance, Insurance & Reporting
- Manage insurance policies and permit renewals, including health insurance, Directors & Officers, general liability, workers’ compensation, alcohol license for special events, and auto insurance.
- Work with Leadership Circle to coordinate and manage the annual 990 filing and audit processes.
- Prepare and send annual tax acknowledgment letters to all donors.
Experience & Qualifications
- Experience in nonprofit administration, finance, bookkeeping, or a related field.
- Proficiency with QuickBooks, Square, Paypal, G Suite, and standard office systems.
- Strong organizational skills with high attention to detail.
- Ability to manage confidential information with discretion and professionalism.
- Self-directed with the ability to prioritize tasks and meet deadlines in a part-time capacity.
- Alignment with and commitment to local food system work and the mission of Community Farmers Markets.
Compensation and Schedule:
This is a part-time position with a flexible schedule, with some time-sensitive deadlines related to payroll, reporting, and compliance. Compensation is $28/hr with up to 20hrs/week. The candidate may work remotely with the exception of Tuesdays in office for the team meeting. Use of the CFM office in Atlanta is also available.
