Finance Coordinator & Operations Admin
Four & Twenty Blackbirds is a Brooklyn based pie company. As a whole, we are a group of dedicated and mindful staff that loves what we do - bake pie that is celebrated across the globe!
Presently, we are seeking a highly-motivated and detail oriented part-time administrative and customer support representative in the role of Office & Operations Coordinator to facilitate our Kitchen and Business operations.. This is a 40 hours/week; 5 days a week position.
JOB DESCRIPTION
The Finance Coordinator & Operations Admin plays a key role in supporting bakery operations, customer communication, and financial administration. This position is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced small business environment, and is comfortable balancing office work with customer-facing responsibilities.
RESPONSIBILITIES
Account Management
Manage daily administrative tasks including email, phone inquiries and general correspondence for online, wholesale, catering customers
Maintain organized digital and physical records
Assist with scheduling, order tracking, and internal coordination
Support owners with documentation, forms, and operational follow-up
Facilitate kitchen rentals - fielding inquiries, onboarding, and calendar maintenance
Corporate & Fundraising client outreach and order fulfillment
Business Operations
Leading all AR/AP - Process vendor invoices and track payments (AP)/Prepare invoices, track incoming payments, and follow up as needed (AR)
Cash flow management
Running weekly payroll and making necessary payroll adjustments
Filling and maintaining records
Internal Google calendar maintenance for special events/time off/weddings ect
Assist with basic bookkeeping tasks and financial record organization
Work with ownership/accountant to keep financial information up to date
Monitor supplies and assist with ordering office or operational materials
ERP
Assist with implementation of ERP system
Maintain ingredient, recipe and nutrition facts to allign with existing offerings
Maintain COGS log and assist in updating ordering guides
Intercompany weekly Invoicing
Run weekly reports
Join Senior staff meeting to keep notes and maintain structre of meeting and next steps
Customer Support
Respond to customer inquiries regarding orders, pickups, products, and policies
Handle and troubleshoot order issues, changes, and special requests with professionalism and care
Regular delivery scheduling and tracking
Coordinate custom and large orders with the production team including wedding and catering clients
Ensure a positive, helpful experience for all customers
Sales/Outreach
Email potential fundraising organizations and complete follow-up on-boarding
Thanksgiving/December Holidays (T&DH)
Administer T&DH logistics including national shipping, local deliveries
Additional support for online orders as well as wholesale orders
Function as part of a catch-all team for an intense period of the year for sales
Assist with production planning and lead adminsitrative follow-through on planning potentially including creating or exectuing on existing systems that ensure smooth processing and delivery of product
Kitchen
No kitchen or baking responsibilites NOR retail/store operatioans work
However you will be trained in all aspects of kitchen processes and retail store operations to give a better understanding and wider holistic knowledge of all aspects of company
REQUIREMENTS
Two years office experience
Excellent attention to detail, proficient math skills
Computer literacy with advanced proficiency in Google drive
A passion for customer service
Excellent interpersonal and communication skills with the ability to be client facing
Ability to multitask, prioritize, manage time effectively and self direct
Comfortable handling financial tasks such as invoicing and bill tracking
Friendly, professional communication style
NOT REQUIRED BUT WOULD BE NICE
Four years Bachelor’s degree
Food industry experience
Driver’s License
Experience with Shopify, Quickbooks, Zapier
Compensation
this position is: hourly, $20/hr +
