Job Description
The Expeditor / Kitchen Manager works closely with the event planning team and guest chefs to ensure the success of the culinary component of each event. On event days, this role is responsible for the setup and breakdown of the field kitchen, clear communication with guest chefs to ensure they have everything needed for service, and close coordination with the FOH Manager to execute dinner service on time and to guest satisfaction. Outside of event days, this position requires proactive communication with event planners and chefs, consistent monitoring of kitchen inventory pars, managing supply restocking and equipment maintenance, and tracking and communicating guest dietary needs.
Key Responsibilities
- Communicate with the Event Planner to coordinate contact with the chef 1–2 weeks prior to the event to introduce yourself and address questions or concerns
- Discuss the chef’s menu in detail, including service timing, onsite kitchen build requirements, and equipment provided vs. not provided
- Clarify expectations for the dishwashing station and staff meal, including quantity and service style
- Analyze the menu to anticipate potential course delays or quick turn-arounds
- Identify dietary restrictions and affected courses to prepare targeted questions for the chef
- Monitor weather forecasts for event day and coordinate rain contingency plans with the crew
- Communicate with chefs and event planners prior to events to set expectations and troubleshoot issues
- Confirm chef arrival times and ensure the kitchen is fully set up within two hours of staff arrival (excluding Tour Captain), acknowledging seasonal variations
- Communicate with the tour crew to develop and execute load-in and load-out plans based on the founders vision
- Manage and facilitate the unloading and loading of the trailers
- Support the setup and breakdown of the outdoor kitchen and grills
- Support event setup as needed, including preparation of the long table, service stations, and reception area, as well as unpacking and packing platters, supplies, and equipment
- Provide direction to production staff members delegated to work with you
- Manage all kitchen inventory, including Heath Ceramics serving dishes and platters, serving utensils, passed appetizer disposables, grill equipment, and related items
General Tour Support
- Provide additional tour support and administrative assistance when requested and needed
- Communicate with Tour Manager on tour schedule
- Assist in the errands and tasks on non-event days (i.e. menu pick-up, event laundry, charcoal, repair needs, and miscellaneous items)
- Act as a back-up driver on the road
Content & Storytelling
Your perspective is essential to helping us share the spirit and humanity of each gathering with our wider audience since our marketing team is not usually present on-site. All Tour Crew members are required to capture content from life on the road, including:
- Behind-the-scenes photos and videos
- Brief written or spoken summaries following each event sharing reflections and details of the event
- Insights into life on the road — travel days, team rituals, favorites (songs, snacks, etc.), obstacles (ex: trailer got stuck)
Working Conditions
Special working conditions require regular evening and weekend work, including extended shifts of 12 hours or more. Work is performed in a variety of weather conditions and takes place outdoors, requiring comfort and resilience in the elements. Substantial travel is expected on non-event days, including driving multiple hours between production locations.
Living Conditions
Accommodations may include hotels, homeshares, or camping, depending on location and availability. Shared rooms are common, so comfort with communal living is essential. Candidates must demonstrate a strong team-oriented mindset and maintain high standards of cleanliness and respect in shared living spaces.
Physical Requirements
This is a physically demanding position. Individuals must be able to stand for long periods, lift and carry heavy equipment regularly, perform repetitive tasks, work in confined spaces, and safely ascend or descend ramps while carrying gear.
