As an event coordinator at All Together Now/Present Company, the primary responsibility will be oversight and leadership of event execution. This role requires being onsite through setup and breakdown of most events. This role will work closely with the events/catering manager, chef, general manager, and owner to make sure our mission of creating a fun, tasty, genuine atmosphere is understood by staff and carried out in details large and small.
We expect the Event Coordinator to be a problem solver who helps create bespoke experiences for our guests, and a fun and organized environment for our team members to thrive. Being able to collaborate on writing an effective timeline and executing events on time is a skill paramount to the success of this role.
Flexibility with scheduling and hours per week is also a must due to the inconsistent and sometimes infrequent nature of private event bookings.
Job duties include but are not limited to:
- Communicating with the leadership team to understand the upcoming events calendar, client estimates, contracts, and other event documents.
- Communicating with the leadership team to understand and collaborate on Run of Show plans and other event logistics.
- Delivering information about Run of Show documents and other aspects of event plans to hourly staff, ensuring the executing team has all the information needed to put on a successful event.
- Clear, consistent communication with hourly staff members throughout events.
- Communication and coordination with kitchen, and production teams regarding quality and consistency of food and smooth service.
- Assist with gathering, packing, and organizing equipment and materials needed for events.
- Driving the All Together Now van to and from offsite venues. An active driver’s license is required for this position.
- Loading and unloading equipment, food, and beverage necessary for executing events. Must be able to lift 50 pounds.
- Facilitating timely setup of events according to the established plan, while being able to pivot and problem solve in the event of unexpected situations and changes to the plan.
- Facilitating efficient and professional breakdown, leaving any venue or private space meeting the expectations of the client, venue manager, or the established expectations at All Together Now or Present Company.
- On-the-spot coaching and correcting of hourly staff at events, and active reporting of performance back to the leadership team.
- Ensure compliance with safety, health, and security standards.
Active communication with the client, host, and/or guests to ensure their experience remains positive from arrival to departure.
- Active communication with the client or host should a violation of the contract occur, or feedback regarding conduct become necessary.
- Active, professional communication with other vendors, coordinators, venue managers, and any other personnel collaborating on an event.
- Resolving on-the-spot client issues, and/or being an effective liaison between the events manager and the client from the onset of an event.
Schedule:
- Based on the events calendar.
- Shifts may start as early as 8:00 am, end as late as 1:00 am, with the most common shift taking place between 4pm and 11pm, and most shifts lasting between 5-9 hours.
- Shifts will be scheduled with the best approximation of end-time, but the expectation is that the shift will end when breakdown and unloading are complete.
- The schedule for each week will be given as early as possible, but flexibility to help accommodate event requests with less than 10 days’ notice will be appreciated.
Compensation:
$35/hour for hourly events with potential for tips
