Pie Ranch (pieranch.org) is a unique food system education center located on a diversified regenerative farm on the San Mateo Coast, about 55 miles south of San Francisco. The home site of Pie Ranch includes two parcels, 27-acres in total. These neighboring pieces of land are each shaped like a slice of pie, and also grow the ingredients to make pie. In 2018 we began leasing 418-acres to the north at Cascade Ranch where we are building up a regenerator program for new farmers and land-based businesses. Pie Ranch is a nonprofit organization dedicated to food education, sustainable agriculture, and community learning.

About the Position:
The Finance & Administration Senior Manager is responsible for effectively managing and strengthening Pie Ranch’s financial and administrative systems to support the delivery of the organization’s programs, goals, and objectives. Our current annual budget size is approximately $4 million.
The successful candidate will be a hands-on manager and a strategic thought-partner who reports to the Executive Director and works closely with the Leadership team. This is a tremendous opportunity for an experienced Finance and Administration Senior Manager to maximize and strengthen the internal capacity of a well-respected, high-impact non-profit organization.
Job Responsibilities:
Financial Management
- Manage and oversee daily fiscal processes, including handling cash, processing accounts payable and receivable, credit cards and reconciling accounts.
- Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly and annual financial statements; collate financial reporting materials for the board, and oversee all financial, project/program and grants accounting.
- Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors.
- Manages, in conjunction with CPA, annual tax filings.
Oversee and lead the annual budgeting and planning process in conjunction with the Leadership Team; administer and review all financial plans and budgets; monitor progress and changes; and keep the leadership team abreast of the organization’s financial status. Presents the budget to the Board of Directors and staff. - Manage organizational cash flow and forecasting. Processes vendor payments.
- Manages organizational bank accounts and investments.
- Manages and streamlines accounting systems.
- Implement a robust financial management reporting system; ensure that billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements. Prepare and submit requests for reimbursements for Government related grants.
- Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
- Effectively communicate and present the critical financial & operational matters to the leadership team, program or department managers and the board of directors. Attends leadership meetings regularly.
Human Resources Management
- Manages and processes bi-weekly payroll for employees.
- Supports the administration of employee benefits, including negotiating annual policy renewals.
Coordination with Development Activities
- Coordinate with grants manager, grants project managers and development team to ensure that public and private foundations and donors are receiving accurate financials for organization and program-specific budgets.
- Conduct regular reconciliations with development and accounting systems.
- Tracks and reports TRNA (temporary restricted net assets) funds
General Operations and Administration Management
- Manages and negotiates insurance policies, including liability, property, workers compensation, etc.
- Work closely and transparently with all external partners including third-party vendors and consultants.
- Manages or supports administrative paperwork regarding licenses, permits, property welfare exceptions and similar
- Oversee administrative functions to ensure efficient and consistent operations as the organization scales.
- Prepares and collides the board packages in conjunction with the leadership team on a quarterly basis.
- Lead administration & coordinator on grant related management and reporting for Government grants
- In charge of of Google workgroups administration (calendar, google drive and user accounts)
- Oversees Bookkeeper/Admin Associate.
- Participates in program activities, as needed.
- Participates in Pie Ranch subcommittees as needed.
Knowledge, Skills, and Abilities:
Required:
- Minimum of a BA, ideally with an MBA/CPA or related degree.
10 years of overall professional experience; ideally five-plus years of broad financial and operations management experience. - 1-2 years experience working in a non-profit organization in a related capacity, ideally non profit accounting.
- The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a small organization, a division or significant program area, and has preferably overseen or managed a human resources function previously.
- Proven experience and skills in budgeting, planning and delivery of project outcomes and overall program effectiveness.
- Ability to translate financial concepts to – and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds.
- A track record in grants and fund management.
- Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software. Demonstrated proficiency with QuickBooks, Microsoft Office Suite, and Google Office Applications.
- Commitment to training programs that maximize individual and organization goals across the organization including best practices in financial management activities.
- A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making.
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
- A multitasker with the ability to wear many hats in a fast-paced environment.

Compensation
