Job description
Position Summary: The Contracts & Billing Coordinator manages contract documentation, invoicing, subaward processing, and financial compliance across the Healthy Food in Institutions Local Food Program (LFP) and Double Up Food Bucks (DUFB) programs. This role ensures timely payments, accurate financial tracking, and alignment with multiple grant requirements, including high-volume partner reimbursements.
This position ensures payments are processed accurately and on time across a high volume of partners. This includes having complete, consistent, and audit-ready documentation along with proactively identifying and addressing compliance risks. The Contracts and Billing Coordinator will support increasing efficiencies in our internal systems and workflows. They will also support our partners in meeting the various requirements without creating unnecessary burden. This position sits at the intersection of finance, compliance, and program operations. It plays a key role in ensuring that high-volume, federally and state funded programs run smoothly, accurately, and in alignment with both grant requirements and real-world partner capacity.
Essential Responsibilities and Duties
Contract Management (30%)
-Prepare, issue, and manage contracts and subaward agreements using established templates
-Coordinate contract execution, including collecting signatures and tracking status
-Track contract timelines, renewals, and amendments
Monitor compliance documentation
Billing & Invoicing (45%)
-Prepare invoices and payment requests across programs
Review contractor, partner, and subaward invoices for accuracy and compliance
-Manage high-volume Nourish CO partner reimbursements and redemption-based payments
-Validate partner-submitted documentation (tracking sheets, receipts, logs) for completeness and eligibility
-Coordinate closely with Accounting Senior Manager on processing and timelines
-Support with track spenddown against approved budgets and flag pacing issues
Financial Reporting Support (15%)
-Provide updates on monthly expenditures
-Support grant budget tracking and reconciliation
-Review data for discrepancies, inconsistencies, or risks
-Flag issues early to program and finance staff
Compliance, Documentation, Nourish Organizational Support (10%)
-Ensure proper documentation retention across programs
-Maintain audit-ready records and clear documentation trails
-Support preparation for audits and reporting
-Participate in and actively engage with organization-wide monthly JEDI meetings aimed at fostering connection and belonging across Nourish
-Contribute to team-specific JEDI projects and initiatives, supporting the integration of equity and inclusion into day-to-day work
Qualifications and Experience
-2+ years of experience in billing, contract management, and financial tracking
-Strong financial literacy and attention to detail
-Ability to manage high volumes of transactions with accuracy and consistency
-Strong data validation skills, including identifying errors, gaps, and anomalies in reporting
-Technologically savvy and organized Advanced Excel or Google --Sheets proficiency (formulas, data validation, tracking)
-Familiarity with program management tools (Monday, ClickUp, Slack, etc.)
-Ability to manage, organize, and analyze information
-Ability to ensure accountability while working collaboratively with partners to resolve invoicing and compliance challenges
-Highly organized with strong documentation and file management practices
-Proactive approach to problem identification and resolution
-Commitment to meeting partners where they are and supporting a wide range of communication and learning styles
-Excellent communication and interpersonal skills; ability to work collaboratively
-Sensitivity and experience working with diverse populations, cultures, and socioeconomic backgrounds
-Commitment to Nourish Colorado’s mission, vision, goals, and organizational values
Nice to have:
-Experience working with food systems, SNAP, nutrition incentive programs, and/or school meal programs
-Experience working with small businesses, farmers markets, and/or community-based organizations
-Spanish language skills for partner communication
-Experience building or improving workflows and operational systems
This position would ideally start on July 6th, 2026 and is fully funded for one year. Extension of position is based on performance and available funding.
Compensation
this position is: salaried, $56,485 - $75,000
