Job description
Position Description:
The part-time, seasonal Facilities & Grounds Manager is responsible for the ongoing upkeep, preventative maintenance, and repair of the farm’s facilities, vehicles, and grounds. Working under the supervision of the Executive Director and in collaboration with the Farm Director and Community Gardens Manager, this role ensures that the farm remains functional, safe, and welcoming for all participants, staff and visitors. In addition to hands-on maintenance, the Facilities & Grounds Manager must provide clear communication, task tracking, and organizational systems so that the entire year-round team has access to property tools, keys, and facility information.
Responsibilities:
Facility Oversight & Compliance
- Ensure compliance with all local, state, and federal safety regulations (fire, health, building codes, agriculture)
- Oversee inspections, licensing, and certifications, keeping all documentation current and accessible.
- Prepare quarterly infrastructure and project reports for the Executive Director and Board of Directors.
Routine Maintenance
- Create and follow a preventative maintenance schedule (daily, weekly, monthly, seasonal).
- Alongside Groundskeeper & Maintenance Supervisor, perform routine checks and upkeep of plumbing, electrical, and agricultural systems.
- Alongside Groundskeeper & Maintenance Supervisor, conduct regular landscaping, grounds care, snow removal, and waste management.
Vehicle & Equipment Care
- Oversee the routine maintenance and repair of all farm vehicles, including the truck, van, tractors, mowers, plow, and golf carts.
- Communicate proactively with the Executive Director and program team regarding repair timelines and vehicle availability.
- Ensure that all vehicles relied upon seasonally are serviced by qualified mechanics each spring, reducing downtime and preserving in-house labor hours during the busy summer season.
- Maintain accurate up-to-date logs of all vehicle inspections, service, and repairs.
- Develop and implement preventative maintenance schedules for all other equipment on farm.
Shop, Tools, & Key Organization
- Maintain a clean, safe, and organized shop and storage system
- Ensure tools and equipment are labeled, inventoried, and accessible to the year-round team.
- Support farm team with similar systems needed in their operation.
Task Management & Communication
- Use a shared task management system (google sheets or asana) to record, update, and complete tasks.
- Communicate promptly with the team about maintenance issues, timelines, and resolutions.
- Ensure no tasks stall without explanation or an updated plan.
Management
- Supervise the Groundskeeper & Maintenance Supervisor
- Attend weekly staff meetings
- Attend monthly Buildings & Grounds committee meetings
Qualifications:
- Experience in general maintenance and small engine repair.
- Proficiency in basic plumbing, electrical, carpentry, and groundskeeping.
- Strong organizational skills and ability to maintain systems others can access.
- Effective communicator with a collaborative approach.
- Ability to manage multiple priorities and meet deadlines.
- Ability to perform moderately strenuous labor, including lifting up to 50 lbs and standing for long periods of time.
- Understanding and interest in the mission of Pitney Meadows Community Farm, and ability to communicate that with visitors and supporters of the farm.
Compensation
this position is: hourly, varies DOE, $25.00 - $30.00
