Position Summary
We are seeking an experienced Office & Operations Manager to own recurring bookkeeping, administrative, and operational support that keeps Real Good Fish running accurately and on time. The right person is comfortable moving between QuickBooks, payroll, vendors, grants, purchasing, inventory, employee paperwork, and production documents.
This is a hands-on, collaborative role working across operations, finance, sales, and leadership. You anticipate needs, follow issues through completion, communicate clearly, and help teammates get the information and support they need.
This role supports operations but does not manage production, and supports finance but does not own financial strategy. Leadership retains higher-level financial and business decisions.
Key Responsibilities
Bookkeeping & Financial Administration (~30%)
• Own routine QuickBooks bookkeeping, including bills, expenses, deposits, customer payments, and accurate transaction coding.
• Manage AP and AR administration, invoices, payment schedules, aging reports, and supporting records.
• Process bi-weekly payroll and maintain payroll, vendor, W-9, and related documentation.
• Perform bank and credit card reconciliations, investigate discrepancies, and prepare month-end information for leadership and outside accounting support.
Office & Business Administration (~40%)
• Maintain grant expense documentation, reimbursement support, deadlines, and audit-ready files.
• Maintain employee files and routine people administration, including onboarding/offboarding, payroll setup, PTO, and confidential documentation.
• Track licenses, permits, insurance certificates, subscriptions, vendor agreements, and recurring compliance deadlines.
• Own supplies, equipment, mail/packages, scheduling coordination, shared records, and routine vendor or customer paperwork.
• Serve as a first point of contact for routine administrative questions and follow issues through to resolution.
Operations Administration (~30%)
• Prepare daily product labels, packing sheets, order documents, and fulfillment materials; verify information and resolve discrepancies before they disrupt operations.
• Coordinate purchasing, purchase orders, receiving documentation, invoice matching, and recurring supply orders.
• Maintain inventory, product, SKU, vendor, packaging, pricing, and purchasing records and support inventory reconciliation.
• Identify and follow up on inventory, purchasing, receiving, vendor, or documentation exceptions and route operational decisions to the appropriate owner.

• Recurring work becomes more organized and efficient through better processes and appropriate use of technology.
Qualifications
• 5+ years of office management, business administration, bookkeeping, accounting support, or comparable small-business experience preferred.
• Working proficiency in QuickBooks Online or comparable accounting software, including bank and credit card reconciliations.
• Experience owning multiple back-office functions in a small or mid-sized operational business.
• Exceptional organization, follow-through, judgment, teamwork, and attention to detail.
• Comfort learning and using modern software, AI tools, automation, and integrations. Advanced IT experience is not required.
• Experience with inventory, purchasing, payroll, grants, or another operational business is a plus. Seafood experience is not required.
Job Details
• Part-time, approximately 24-30 hours per week, primarily in person in Moss Landing, with potential to grow.
• $30-$36 per hour, depending on experience. Paid time off, paid holidays, flexible schedule, and employee seafood discount.
