Overview

The Executive Assistant to the President/CEO and Office Manager (EAOM) is the backbone of the Genuine Foods team. The EAOM manages the President/CEO’s calendar, travel and expenses and is the lead for general office upkeep and basic finance and human resources functions. Overall responsibilities include: providing support to the President/CEO as needed, managing/maintaining the office premises, equipment, and systems and assisting with finance and HR. The ideal candidate is experienced, enthusiastic, and highly organized with a friendly and diplomatic demeanor. Must be able to communicate effectively verbally and in writing and be able to adapt to unforeseen and evolving situations. Project management skills and the ability to prioritize tasks are essential.

Essential Job Responsibilities

Executive Assistant

  • Maintain President/CEO's schedule including day-to-day and long-term management of meetings, projects, travel and priorities
  • Provide daily briefings
  • Coordinate logistics, provide advance materials, and execute follow up for meetings
  • Track and submit monthly expenses
  • Handle phone, email and postal mail inquiries and respond appropriately
  • Ensure that communications, written, verbal, and electronic, from the President/CEO and the management team to external audiences are of the highest quality
  • Assist in planning domestic and international travel, including researching air and ground transportation and ensuring that the President/CEO's travel is both cost and time efficient

Office Manager

  • Assists with overseeing payroll
  • Assists with benefits (health and dental) administration
  • Assists with paperwork for on-boarding new employees
  • Assists with basic finance operations (filing, requests from accountants etc.)
  • Track office supplies and place orders/reorders as necessary
  • Manage copying, printing, mail and shipments
  • Manage a broad range of office equipment, service and supply vendors
  • Supervise maintenance of office equipment, including copier, phone lines, storage containers, and break room supplies and appliances
  • Manage and execute special projects as assigned
  • Research new office equipment/systems to maximize office efficiency and cost-savings

Required Qualifications

  • A bachelor's degree from an accredited college, and 3+ years of related experience
  • Experience supporting or working closely with busy Executives
  • Mission-driven team player with a positive attitude, strong work ethic and the willingness to pitch in and support colleagues
  • Strong phone, interpersonal, oral and written communication skills with a confident, concise, clear and compelling style
  • Punctuality and ability to present oneself in a professional environment
  • Ability to interact effectively at multiple levels within the organization and with external audiences
  • Demonstrated ability to meet deadlines and manage multiple projects in a timely manner with constantly shifting priorities
  • Meticulous about details and follow up; subscribes to the belief that no task is too big or too small
  • Ability to rapidly problem solve
  • Ability to complete work independently with broadly defined work objectives and limited oversight
  • Thorough knowledge and proficiency in Microsoft Office, Google Drive (Docs/Sheets) and proficiency with file-sharing (DropBox) and project management tools (Slack, Trello, etc.)
  • Resilient and flexible; sense of humor
