Job description

Do you enjoy the thrill of fast paced workplace and playing an instrumental role in the daily operations and supply chain logistics of a fast-growing company? This position reports to the director of operations and maintains effective communications with customers, vendors and suppliers and is the backbone of a company.

You are

  • Proactive, self motivated and organized problem solver with 3+ years work experience in related field (food experience desired but not required)
  • Enjoy working in a fast-paced environment, and able to make quick judgment calls on priorities and multi-task
  • Excellent communication skills and be able to give and receive feedback
  • Natural negotiator, diplomat and juggler and likes to build external relationships and managing vendors
  • Working knowledge of Quickbooks is a big plus
  • Demonstrated project management experience
  • Passionate about natural foods industry and making an impact

Purchase Orders

  • Receive purchase orders by email from wholesale customer accounts, confirm receipt and record sales orders into QuickBooks
  • Export and review Purchase Orders from EDI portal
  • Import and review invoices from Accounting department into EDI portal
  • Send packing slips to warehouse(s) by email or enter into warehouse order system

Transportation

  • Outbound: Book LTL freight for delivered customers
  • Inbound: Book freight for components and finished goods from supplier to warehouses/production
  • File any claims for damaged or otherwise incorrect shipments
  • Quote and negotiate for lowest pricing of truck carrier routes
  • Follow up on shipments with timely communication until delivery has arrived successfully at destination
  • Create or forward BOLs to necessary parties for all shipments

Production Support/Inventory Management

  • Oversee ordering of all labels, shipping components, and packaging components for multiple facilities
  • Issue production Purchase Orders to manufacturers based on Forecast, Capacity Planning, and Freight Planning
  • Work with entire team to review, analyze, and implement forecasts
  • Book all transportation to and from manufacturers and follow through on timely arrival
  • Manage post production communication and production quantities received by warehouse(s)
  • Troubleshoot Quality Assurance customer inquiries with manufacturers
  • Maintain production and inventory levels for Amazon products

Sales Support

  • Assist with pricing for new customers by researching freight costs
  • Communicate inventory levels and current operations projects to Sales Team
  • Complete all required paperwork and related items for new customer launches
  • Escalate Purchase Order related issues to ensure proper replenishment to customers

General Office Support

  • Monitor incoming calls for the company phone; answer customer service inquiries, forward information to the appropriate contacts, and logging information as needed
  • Order office supplies and products as needed
  • Maintain proper certifications and their distribution to customers
  • A/R and A/P verification and reconciliation

Required skills: Excel, basic knowledge of Accounting, understanding of perishable Supply Chain, Relationship Management
