City Green is a 501c(3) urban farming and gardening organization based in Clifton, NJ working to revitalize urban areas through agriculture and educational programming. It offers practical, technical and financial resources in support of environmental stewardship, equitable access to healthy food, and ecologically sustainable communities.

The Mission of the City Green Farm operation is to demonstrate sustainable and organic urban food production; increase access to local farm-fresh food; and provide meaningful job and volunteer opportunities in an agricultural setting. Through interaction with the farm operation individuals create a connection to their food; value the importance of open space; gain an appreciation for local agriculture in their own community and understand the role sustainable farming practices play in a healthy ecosystem.

City Green distributes the food we grow through a Farm Stand and Mobile Market program which aims to connect with local governments and community organizations in northern NJ to provide increased access to, and affordability of local, farm-fresh food ensuring good food is available for all. The markets are enhanced by a Double Value Coupon program that incentivizes federal food beneficiaries to purchase healthy food grown by City Green and other local farms.



 

Job description

Position Description:
The Development Assistant at City Green will further the mission of the organization by providing excellent and energetic administrative and fundraising support.

The Development Assistant provides support for all fundraising activities including donor relations and special events while supporting the administrative operations of the organization as a whole. City Green offers a pleasant and enthusiastic environment with dedicated, good-natured professionals committed to food access and urban greening in New Jersey.

Major Duties and Responsibilities:

Development Support:

  • Assist Executive Director and Advancement Strategist as needed
  • Support Major Donor and Individual donor cultivation
  • Ensure proper donor activity tracking in database, including contact information, major gift call reports, event attendance and volunteer engagement
  • Process and acknowledge gifts in a timely and IRS compliant manner
  • Provide reports as needed
  • Handle all administrative details associated with institutional advancement

 

Volunteer Management:

  • Maintain the volunteer database
  • Manage volunteer applications, inquiries and communications
  • Support weekly individual Wednesday volunteer days
  • Support corporate group volunteer days including providing refreshments and thank you gifts with City Green promotional materials
  • Follow up group volunteer days with appropriate acknowledgments
  • Support volunteer recognition and cultivation


Event Coordination:

  • Coordinate details of events such as conferences, fundraisers, community events, volunteer appreciation and larger meetings
  • Schedule speakers, vendors, and participants
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Initiates, coordinates and/or participates in all efforts to publicize events
  • Secure sponsorships
  • Send out invitations and manage RSVP list
  • Manage correspondence
  • Provide “single-point accountability” at events by directing, managing, coordinating and collaborating with the vendors, event team, participants and guests, ensuring the timely execution of the event timeline and a high quality event experience

 

 

 

General Administrative Support:

  • Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff
  • Provide meeting/program support as needed
  • Keep inventory of all City Green promotional and display materials and replenish as needed
  • Manage inventory of office supplies, organizational assets and programmatic supplies


Qualifications:

  • Bachelor’s degree (B.A./B.S.) in related field or equivalent
  • 3 plus years related experience in a non-profit environment
  • Nonprofit database experience
  • Commitment to excellence and high standards
  • Excellent written and oral communication skills
  • Strong organizational, problem- solving, and analytical skills
  • Ability to manage priorities and workflow
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Demonstrated ability to plan and organize projects
  • Ability to work independently with little supervision, and as a member of various teams and committees
  • Proficient on Apple operating systems, Microsoft Office suite, Google Apps
  • Strong interpersonal and presentation skills
  • Passion, enthusiasm, focus, creativity, and a positive outlook.
  • Professional appearance and demeanor

 

This position reports directly to the Director of Community Engagement

  • Full-time position (40 hours per week)
  • Occasional nights/weekends for select events as required
