Job description

Job Title: Office Coordinator

Location: Stone Barns Center in Pocantico Hills, New York    

Supervisor: A Team of Directors (Executive, Finance, Facilities, Education, Communications, HR)

Employment Classification: Full-time, Salaried/Non-exempt

Frequency of Pay: Bi-weekly

Salary: $42,500

Benefits: including medical, dental, vision, life and disability insurance, a 401k plan and paid time off. 

Schedule: Monday - Friday                                     

 

The Office Coordinator plays a crucial role in supporting a culture that brings out the best in our team and organization. This individual will wear many hats - from taking the lead for general office upkeep, managing/maintaining the office premises/equipment/systems, to supporting the team as needed whether it be with calendar upkeep, travel and expenses or HR related items. The ideal candidate is experienced, enthusiastic, and highly organized with a friendly and professional demeanor. Must be able to communicate effectively verbally and in writing and be able to adapt to unforeseen and evolving situations. Project management skills and the ability to prioritize tasks are essential. 

 

Responsibilities:

  • Coordinate logistics, provide advance materials, and execute follow up for meetings
  • Handle phone, email and postal mail inquiries and respond appropriately
  • Ensure that communications, written, verbal, and electronic, from the management team to internal/external audiences are of the highest quality
  • Track office supplies and place orders/reorders as necessary
  • Manage mail and shipments
  • Supervise maintenance of office equipment, including copier, phone lines, storage containers, and break room supplies and appliances
  • Manage and execute special projects as assigned
  • Research as needed
