Status: Full-time, 25 hours/week year-round.

Compensation: $22-$25 per hour.

Benefits: Eligible for employer-covered benefits package including medical, dental and vision, 3 weeks PTO, plus an additional week when the office is closed 12/24-1/1, and 401k match after 1 year.

Hours: Weekday business hours.

Reports To: Finance and HR Manager

 

JOB SUMMARY: The Bookkeeping Assistant will perform basic bookkeeping, reporting, filing, and other administrative tasks. This position oversees data collection and entry into QuickBooks to keep financial operations running smoothly and efficiently in an organized and timely manner.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Perform daily financial transactions including recording all accounts receivable, preparing customer invoices and/or purchase orders provided by each program area, payment collection, and following up with customers.
  • Perform weekly accounts payable by entering bills and payment requests and reporting weekly payables to the Finance and HR Manager.
  • Preparation of bank deposits and recording of EFT transactions.
  • Support the Finance and HR Manager in coding expenditures and generating monthly expense and income reports.
  • Excel data entry to assist, organizing data for grant reporting and program reporting metrics.
  • Assist the Finance and HR Manager with timely month-end closing and reconciliation, quarterly financial reporting to the Board of Directors, and reporting for annual company audits.
  • Up-keep of physical and digital files, including the organization’s QuickBooks file.
  • Collect & compile payroll data into internal spreadsheets.
  • Assist the Finance and HR Manager with maintaining personnel files.
  • As needed, assist the Finance & HR Manager with benefits administration.
  • Assist with market box counting & reconciliation weekly.
  • Work with Market Managers to ensure all on-site bookkeeping is accurately reported and deposited in a timely manner. Generate reports on total vendor fees and deposits. Track down any discrepancies.
  • Work with the Food Access Coordinator to track food assistance programs such as: WIC, FMNP, Senior FMNP, EBT, Fresh Bucks and Helping Harvest for each market.
  • Work with fundraising staff to track and reconcile donations, generating reports and resolving any discrepancies.
 QUALIFICATIONS
  • 2+ years bookkeeping experience in a professional office environment.
  • Passion for problem solving, finding inefficiencies and creating and improving systems.
  • Positive professional attitude and flexibility.
  • Commitment to 100% follow-through.
  • Clear and consistent communication.
  • Office 365 skills (Excel, Outlook, Word, SharePoint navigation).
  • QuickBooks knowledge is a plus.
  • Knowledge of GAAP (accounting principles) is a plus.
  • Strong organizational skills, analytical, interpersonal, and oral/written communication skills.
  • Excellent attention to detail and ability to multitask in a busy environment.
  • A commitment to NFM’s overall mission and working as part of a team.
  • Able to work independently as well as with a team. Must be able to exercise discretion, sound judgment, tact, and diplomacy in all communications, due to the exposure to sensitive and confidential information.
