The Sales and Inventory Management Assistant is responsible for supporting the sales team and handling general administrative, accounting support and compliance duties.

Job Responsibilities

Sales Support

●       Process and input orders into sales software and various online portals

●       Coordinate booking freight and transportation for shipments

●       Compile and send order/shipment support documents (confirmations of sale, passings, etc.) to customers

●       Assist in compiling and formatting sales reports

●       Update weekly quote sheet and sales email to customers

●       Send information to growers and packing houses as needed (daily open orders reports, BOL, etc)

●       Book the transfer of products between packing houses

●       Handle some sales accounts, if desired

●       Provide excellent customer service

Inventory management

●       Communicate with our packing houses and maintain accurate inventory on a daily basis, working collaboratively with the Grower and Supply Operations Manager as needed

●       Input inventory into sales/inventory management software

●       Review physical inventory reports from packing house partner(s)

●       Research and reconcile inventory discrepancies

●       Maintain and create new product and field codes in inventory software

●       Maintain master pack style and UPC spreadsheet

Compliance

●       Prepare for annual organic certification audit

●       Send Fruit World organic and packing house food safety certifications to customers as they are renewed

●       Maintain database and records of supplier and packing house certifications (organic, food safety, etc)

Administrative

●       Answer general phone line and field consumer questions

●       Support remote accounting functions

●       Calculate and submit grower/commodity assessments

●       Other related assignments as necessary

  At least 2 years of experience in office operations or sales support

●       High school diploma/GED required

●       Experience in the produce industry and/or logistics is preferred

●       Demonstrated history of excellent written and oral communication skills, ability to develop and maintain good working relationships

●       Organized, accurate, and capable of taking direction and providing support to multiple people

●       Ability to handle and prioritize multiple tasks and demonstrate solid time management skills while working in a fast paced environment

●       Extremely dependable and self-motivated

●       Strong working knowledge of MS Office, Google Business suite, Adobe Acrobat and experience with customer and inventory management systems

●       Ability to occasionally work overtime hours and Saturdays
